Director's Administrative Assistant

Are you a detail-oriented professional who excels at supporting executive leadership? Reporting directly to the Director, this key role offers the opportunity to provide senior administrative expertise to the RCMP & Enforcement Services department. While guiding the daily operations of the Director’s office, you will help foster efficiency across the administrative team, liaise with all levels of the organization, and ensure the department delivers on its commitments with professionalism and precision.
**Key Responsibilities**:
- Manage the Director’s schedule including coordinating meetings, preparing meeting materials and logistics
- Draft meeting agendas, and record, transcribe, distribute meeting minutes; ensure outstanding action items list is kept up to date for internal/external meetings and committees
- Liaise with Senior Administration and Executive Assistants to coordinate Council reports, Executive Team issue briefs, and Senior Leadership Team issue briefs
- Review Council meeting agendas, minutes, action sheets and outstanding Councillor inquiries to ensure action items related to the department are handled promptly and in accordance with corporate and division guidelines
- Provide administrative support for the department budget and financial reporting
- Subject matter expert providing leadership and advice to department staff to ensure consistency throughout the department for records management
- Coordinate department meetings, leadership team meetings and events/initiativesAssist with other necessary administrative duties as required by the department
**Qualifications and Skills**:
- Post secondary training/certificate plus 5 years of related experience
- In-depth knowledge of administrative policies, procedures, and standards
- Extensive knowledge of relevant computer programs such as Share Point, Microsoft O365 suite, Escribe and Adobe
- Ability to recognize and deal with matters of a confidential nature in a discrete and professional manner
- Excellent communication skills, both verbal and written, and strong customer service when dealing with client groups including co-workers, the public, Elected Officials, and senior management
- Strong organizational skills and the ability to work independently and multi-task effectively, with frequent interruptions and requests from a variety of sources
- Sound leadership skills to motivate and direct staff while maintaining a professional, positive imageThorough knowledge of Strathcona County protocol and a strong understanding of corporate and division policies, procedures, and organizational structure is an asset
**Conditions of Employment**:
Currently possess or ability to acquire RCMP Enhanced Reliability Security Clearance
