As a Telecommunications Project Administrator, you will play a vital role in assisting our Project Manager in coordinating, organizing, and executing various telecommunications projects. Your strong organizational skills, attention to detail, and ability to thrive in a fast-paced environment will contribute to the successful delivery of our projects on time and within budget.
**Responsibilities**:
- Collaborate closely with the Project Manager to develop and maintain detailed project schedules, ensuring all tasks are clearly defined, assigned, and tracked.
- Monitor project progress and provide regular updates to the Project Manager, highlighting any deviations from the original plan and proposing corrective actions.
- Maintain accurate documentation of project activities, including project status reports.
- Assist in preparing project proposals, budgets, and cost estimates in collaboration with the Project Manager.
- Track project expenses and help maintain budget adherence.
- Contribute to risk assessment and mitigation strategies, identifying potential project risks and assisting in implementing proactive solutions.
- Provide administrative support, including managing project documentation, filing systems, and other project-related tasks as necessary.
- Demonstrate strong problem-solving skills to address project challenges and obstacles.
- Track and analyze Key Performance Indicators (KPIs) to assess project performance and identify areas for improvement.
- Showcase proficiency in computer skills, especially advanced Microsoft Excel, for data analysis, tracking, and reporting purposes.
- Manage data input and oversee report generation, ensuring accuracy and timely delivery.
- Handle the process of requesting Road Occupancy Permits and creating Traffic Control Plans as required for project sites.
- Demonstrate familiarity with Book 7 guidelines and ensure adherence to relevant safety standards.
- Take charge of creating and updating site packages, incorporating all necessary documentation.
- Expertly export reports and presentations to communicate project updates to stakeholders effectively.
- Collaborate with the Project Manager and cross-functional teams to execute project tasks.
**Qualifications**:
- 2 years of proven experience in project administration within the telecommunications industry.
- Ontario One Call Locate Requests: Receive, review, and process locate requests received through the Ontario One Call system. Ensure that all necessary information is gathered and verified for accurate processing.
- Locate Processing: Collaborate with field teams and technicians to initiate and track the location of underground utilities as requested. Ensure that locates are completed within the specified timeframes and guidelines.
- Locate Management: Coordinate with internal teams, external contractors, and utility providers to manage and schedule locate assignments. Prioritize tasks based on urgency and project requirements.
- Locate Tracking: Maintain a comprehensive tracking system to monitor the progress of locate requests from initiation to completion. Keep accurate records of all communication, updates, and outcomes related to each request.
- Strong understanding of telecommunications concepts and terminology.
- Proficiency in project management tools and software.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Effective communication skills, both written and verbal.
- Detail-oriented mindset with a focus on accuracy and quality.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced Excel skills.
- Ability to work collaboratively in cross-functional teams.
- Problem-solving skills and the ability to adapt to changing project requirements.
- Familiarity with Road Occupancy Permits, Traffic Control Plans, and Book 7 guidelines.
- PMP certification (desired but not mandatory).
- Other duties as assigned by Project Manager and Director of Operations.
**Conditions of Employment**:

**Job Types**: Full-time, Permanent
Pay: $20.00-$25.00 per hour
Expected hours: 44 per week
