The Facilities Project Coordinator works as part of a high-performance team that is responsible for the coordination/administration of Service Nova Scotia's facilities strategy through managing projects regarding new office space fit-outs, existing office space renovations, and systems furniture installations and re-configurations.
This position reports directly to the Manager, Facilities and Support Services.
Primary Accountabilities
The Facilities Project Coordinator oversees office moves and the acquisition and disposal of assets in approximately 35 locations across the province. The Facilities Project Coordinator monitors lease expiry dates for current leased facilities, consults with operational management to recommend whether leases should be renewed, extended, or re-tendered. They prepare needs analyses and space programs for internal and central agency approval and conduct threat risk assessments. They monitor budgets, critical timelines, and physical project progress. The Coordinator needs to read/interpret written materials and interpret data requiring a high degree of concentration and accuracy and manage multiple tasks simultaneously. They must share these insights with the client because of their high-level understanding of operational needs and through their strong communication skills.

Qualifications and Experience
This position requires a minimum of a bachelor's degree + 1-year related experience; or an equivalent combination of training and experience may be acceptable.
Experience and/or knowledge of any of the following would be considered an asset:
Procurement process experience
Project Management training and experience
Knowledge of client management with a focus on client satisfaction
Knowledge of Occupational Health and Safety policies, programs, and procedures
Knowledge of building codes and standards
Working Conditions
Your normal work week is 35 hours/week, 7 hours/day (and will require availability 24/7 during times of crisis). You may be required to work overtime on occasion.
You primarily work within a comfortable office environment with regular travel at local and provincial level to attend project meetings.
This position requires regular travel around the province; therefore, a valid Nova Scotia driver's license is required.
Visually demanding using computer monitors, sitting for long periods of time and occasionally moves/lifts light objects such as office supplies, furniture, and equipment.
Normal office environment with a high degree of concentration and accuracy needed. Sitting for long periods of time and inside closed buildings. Regular use of computer equipment.
Regularly needs to read/interpret written materials and interpret data requiring a high degree of concentration and accuracy. Challenged with a balancing several tasks simultaneously, good memory and attention to detail are required.
Must be able to work calmly and effectively under stress as the incumbent is under frequent demands to ensure numerous deadlines are met and client requests are responded to promptly.
Ability to handle challenging situations and diffuse tense situations.
