As the **Court Disposition Specialist**

**You Will**:

- Enter data into police and justice information systems, such as the Records Management System (RMS), the Canadian Police Information Centre (CPIC) system, and the RCMP’s Criminal Justice Information Management (CJIM) computer systems;
- Monitor and report serious violent offender designations to the Royal Canadian Mounted Police (RCMP) through the CJIM computer system;
- Receive and confirm dispositions and scans completed Court Informations daily; sends notifications to internal Units/Branches regarding court dispositions, and forwards Court orders and other court documents, as necessary;
- Create, review, update, and maintain criminal files of adults and young persons who have been charged by the Waterloo Regional Police Service (WRPS); notifies RCMP HQ Ottawa of any changes to dispositions in a timely manner;
- Process, close, and alert stakeholders of file closures, record suspensions, and deceased person notifications;
- Check for the duplication of files, merge files and persons in RMS, update histories upon completion in court, and update appeal records and court dispositions;
- Review, update, and purge warrant packages, charge files, incomplete Informations, and expired histories from criminal record files in accordance with applicable legislation (e.g., the Criminal Code, Youth Criminal Justice Act, Criminal Records Act, etc.) and procedure. Ensures records retention in accordance with procedure;
- Process warrants, including using police and justice computer systems to confirm charges, rectify discrepancies, and add matching information to the RMS and CPIC;
- Generate occurrence numbers and complete the Fail to Appear report. Prepare warrant and Informations relating to Fail to Appear Court. Maintains tracking for “Fail to Attends” and Superior Court “Charge Files”;
- Maintain and facilitate access to old warrants with the Federal and Provincial Crown office;
- Respond to general inquiries from members, Crown and Court staff, police services, and the public, including occasional in-person reception at the Courthouse; provide general information to the public about legislation and procedures; refer public inquiries (e.g., mental health apprehensions, surety revocation) to onsite police officers and Branch supervision, as required;
- Review court dockets and check for discrepancies and makes necessary corrections. Assist in docket compilation, dissemination and storage; take remedial file maintenance action if appropriate and/or notifies supervisor;
- Provide instruction and practical training to new and temporary employees assigned to the Unit, including summer co-op students;
- Provide information to members of the Service pertaining to legislation, procedures and court orders, and escalate non-routine inquiries to the Branch Supervisor, as needed.
- Open, sort and distribute incoming inter-office mail. Disseminate and forward court documents and correspondence through the internal courier system or postal mail as necessary. Supply court forms to other agencies as requested; and
- Perform other duties as required and assigned.

**You Have**:

- A college diploma in Records or Information Management, Business Administration, Justice Administration, or a related field. A combination of education and experience may be considered;
- One (1) year of relevant experience in legal or justice administration, health care administration, information management, or a related discipline is required;
- Relevant customer service experience with the ability to respond to difficult situations with sensitivity is required;
- Strong organizational skills to prioritize workload and balance competing priorities;
- Demonstrated professionalism and conflict resolutions skills required to interact with a variety of stakeholders, including members and justice sector agencies at a local, provincial, and national level;
- Advanced interpersonal skills in order to work collaboratively in a team environment to problem solve and recommend changes to current processes, systems, and procedures;
- Exceptional comprehension, focus and attention to detail are required; analytical skills are required to capture detail when entering information into systems or analyzing information from multiple sources;
