The Intake Coordinator is primarily responsible for ensuring accurate information is in the scheduling system to ensure accurate client service delivery in a professional, confidential, proactive, safe and efficient solution based manner. The Intake Coordinator works collaboratively in a team environment and communicates effectively with all members of the team on a regular basis. **T**his position is a temporary contract which may be extended or become permanent based on business needs.**

**As an Intake Coordinator, you will**:

- Monitor and ensure timely processing of incoming client service requests, and requests for changes or updates to client services within contractual obligations
- Perform preliminary review of referrals for available, suitable staff, in consultation with service coordinators
- Liaise with customer referral sources as required to ensure customer expectations are met
- Responsible for the integrity of information in Alayacare which would involve data entry, updating client information, schedules and visits.
- Generate and provide reports to Coordinators regarding service terminations and re-starts. Provide relief in Validation team as required
- Know and adhere to the formal and informal departmental goals, standards and policies and procedures
- Enter sensitive data and maintain the confidentiality of source documents in a secure area.
- Act as back up to the client care coordinator.
- Work with an awareness of health and safety and cooperate towards improved health and safety conditions at work

**To take on the role of Intake Coordinator, you must**:

- Hold a high school diploma or equivalency, Medical Office Administration or similar education preferred
- Be able to work a full time Monday to Friday 8:30am to 4:30pm work schedule in office
- Proficiency in Microsoft Office suite
- High level of Data entry
- Have customer service experience
- Have computer skills, with proficiency in Microsoft Outlook, Word, and Excel
- Demonstrate excellent telephone etiquette
- Be able to remain calm in stressful situations
- Be able to empathize with the complexity and difficulty of each client or field staff situation
- Be a detail-oriented, adaptable and customer-focused team player
- Combine strong interpersonal skills with analytical problem-solving abilities
- Be self-directed, goal-oriented and able to manage time and priorities
- Possess medical knowledge and/or a medical background and scheduling coordination experience will be considered an asset

**Physical Requirements**:

- Sitting in a normal seated position for extended periods of time Reaching by extending hand(s) or arm(s) in any direction
- Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
- Communication skills using the spoken word Ability to see within normal parameters Ability to hear within normal range
