Since 1981, Ronald McDonald House Charities (RMHC) Toronto has served as a place to call home for families with seriously ill children undergoing treatment. RMHC Toronto encompasses a House for 81 families in downtown Toronto and seven Family Rooms in hospitals across the Greater Toronto Area and in Sudbury. The families we serve come from throughout Ontario, across Canada and around the world.
We are looking for an **Executive Assistant & Board Liaison** to join our team at the House located at 240 McCaul Street, Toronto, On.

**About the Opportunity**
The Executive Assistant & Board Liaison is a first point of contact for all CEO office relationships, making it a visible and critical ambassador role for RMHC Toronto.
The role reports directly to the VP, Strategic Initiatives in service to the CEO and in collaboration with the senior management team to ensure the efficient operations and growth of RMHC Toronto.
The EA and Board Liaison is critical in maintaining efficient office operations, facilitating effective board governance, and ensuring the CEO can focus on their strategic and leadership responsibilities. This role is key in supporting the CEO and senior leadership interactions with the Board of Directors and in enhancing communication and transparency within the organization.
**KEY ACCOUNTABILITIES**:
- Coordinate travel arrangements, including booking flights, accommodations, and transportation for the CEO's business trips.
- Prepare materials for meetings, organize agendas, and take minutes when necessary.
- Maintain an organized and efficient office environment, including managing supplies and equipment.
- Organize and maintain important documents, reports, and records.
- Assist with expense tracking, reimbursement, and budget management for the CEO's office.
- Assist in preparing communications, presentations, and reports to the board, staff, and external stakeholders.
- Serve as the first point of contact for the Board of Directors, disseminating information and communications between the CEO and board members.
- Coordinate board meetings, including scheduling, agenda development, and document distribution. Attend and provide administrative support during and after board meetings.
- Assist in the organization and administration of board committees and subcommittees.
- Maintain an updated board roster, track terms, and assist with onboarding new board members.
- Ensure compliance with board bylaws, policies, and governance standards, and help with board evaluations and assessments.
- Support the CEO Office on special projects, research, and initiatives as required.
**QUALIFICATIONS**:
**Education & Experience**
- Post-secondary education in Business Administration or related field or a combination of education and a minimum of 5 years of progressively complex senior administrative roles.
- Knowledge of, or experience in, non-profit organizations and Board support.
- Specialized knowledge of Board of Governance procedures and relevant legislative structures and practices in Ontario is an asset.
**Knowledge, Skills & Abilities**
- High political acumen with the ability to maintain a high level of discretion and confidentiality when handling sensitive information related to the CEO and board activities.
- Excellent time management and planning skill
- Strong verbal and written skills
- Well-developed interpersonal and conflict resolution skills
- Strong organization abilities
- Proficiency in relevant office software (Microsoft 365, Survey Monkey, Raisers Edge), communication tools, and board management software (BoardEffects).

- Completion of satisfactory reference check and a satisfactory Vulnerable Sector Check.
