**Position Summary**
The Clinical Coordinator is responsible for coordinating day-to-day operations and supervising most staff within the clinical portfolio. This includes: coordinating programs and services; scheduling; reinforcing safety and policy compliance; quality improvement initiatives; and ensuring excellent client service. They work collaboratively with multidisciplinary teams and external partners to meet community needs. The Clinical Coordinator works closely with the Director to support the full spectrum of programming and service delivery within the portfolio, including achievement of operational and strategic plans and the development, implementation, and monitoring of regional clinical initiatives.

Program Coordination
- Responsible for staff scheduling, including physician on-call schedules, as required. Approve time off requests. Review and approve time sheets and expense claims;
- Assist with strategic and operational planning, implementation of goals;
- Support implementation of quality improvement initiatives & research activities;
- Monitor select operational budget lines and resource usage for optimal program delivery. Purchases supplies per finance policies;
- Assist with developing program plans, funding requests, reporting, and program implementation;
- Monitor and coordinate a variety of activities to successfully meet operational and strategic plan within portfolio.
Team Leadership and Supervision
- Supervise all staff within portfolio except for nurse practitioners, pharmacists, and physicians. Meeting regularly with staff with a focus on development and supporting excellent performance and conduct performance evaluations;
- With the Director’s guidance, assist in coaching and motivating staff;
- Leads the recruitment, hiring process, orientation, and training of new employees, as delegated by Director and in compliance with KCHC policies.
- Ensure staff comply with all relevant policies and procedures;
- Provide internal opportunities for staff in-service training and team building;
- Organize and lead regular team meetings and in conjunction with Director;
- Organize case conferences and working groups as needed to support client care and clinic efficiency;
- Ensure communications with staff are timely and effective in supporting operational goals;
- Organize resident, observership and student placement schedules.
- Address client complaints and concerns
Data Analysis and Evaluation
- Ensure relevant data is gathered, tracking key performance targets/ productivity; maintain records and statistical/recurring reports; Draft reports as needed for review by Director;
- Make recommendations to Director that support programs/services which are client centred, integrated, evidence-based and consistent with best practices;
- Demonstrate appropriate attention to detail and strong time management skills
Administrative tasks
- On-site lead for coordinating resolution to facilities and security issues;
- Acts as a local expert/resource related to the electronic medical record (EMR), including EMR transitions over time and telemedicine network connections;
- Supports communication activities for clients, community, and staff in portfolio;
- Provide administrative support/coverage as needed
Relationship Building
- Act as a direct liaison with community and program partners and groups, funders, and other organizations to assist in relationship development, collaboration, resolving issues or challenges in a timely and professional manner to help achieve goals;
- Establish effective relationships and collaborative arrangements with other KCHC programs and regional partners;
- Participate in various internal meetings and committees involving staff, volunteers, students, and/or clients
**Organizational Responsibilities**:
- Complies with all relevant legislation and KCHC policies, including privacy laws;
- Commits to acquiring an understanding of the importance of trauma responsiveness and the impact of Adverse Childhood Experiences (ACEs);
