Maintenance Coordinator

Limestone Property Management is hiring for a reliable, organized, and motivated Maintenance Coordinator to join our growing team
We are looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed.
**What will you be doing in this role?**
- Monitor and resolve maintenance related tickets, requests and messages in Property Management software and schedule jobs in Maintenance Software
- Review maintenance requests and resolve scheduled jobs that have been completed
- Coordinate with property owners for approval of maintenance expenses
- Collect paper receipts from maintenance team. Sort and enter maintenance expenses in jobs and then scan them to Hubdoc
- Verify and edit maintenance timesheets and labour in Maintenance Software
- Send maintenance payroll info to Finance bi-weekly
- Send maintenance related notices out to tenants
- Coordinate quotes and deliveries for appliances, technicians, sub-contractors
- Tag and note invoices and bills in Hubdoc
- Review “Maintenance Expenses” tab in Hubdoc, ensuring all expenses are in jobs
- Coordinate with Property Management team, tenants and owners for any pest control maintenance requests
- Maintain maintenance and personal Asana boards
- Schedule and send notice for bi-annual property inspections
- Scan bi-annual property inspection reports into filing system and Owner Portal
- Sort through jobs in Maintenance Software to ensure they are being closed in a timely manner
- Close and print completed jobs for review and billing
**What qualifications are required?**
- Excellent communications skills, fully fluent in English
- Proficiency with technology
- Experience using Cloud-based programs and platforms
- Proficiency with Microsoft Office Suite
- Experience with Property Vista or Yardi is considered an asset
- Experience with Service Fusion is considered an asset
- Experience with Hubdoc is considered an asset
- Experience with Asana is considered an asset
- Experience working in an office setting is a must
- Experience in Property Management is considered an asset
- Organized, strong attention to detail, and ability to multi-task
- Pleasant, professional, and friendly disposition
- Motivated
