Procurement & Logistics Coordinator

Reporting to the Procurement & Logistics Manager, you will be responsible for the outbound logistics execution as well as support the daily Procurement activities in our Delta facility.
**Purpose of the Procurement & Logistics Coordinator**:
- Co-ordinate logistics for outbound shipments, liaising with stakeholders both externally (i.e. Provincial Boards, Logistics 3PL partners) and internally (i.e. Supply Chain, Sales, Processing, Quality). The scope includes booking appointments for deliveries at Provincial Boards, booking logistics slots with 3PL partners, preparing all relevant shipping documentation.
- Ensure that all outbound shipments of cannabis are compliant to Rubicon Organics shipping and receiving SOPs. The scope includes all biomass shipped out to the Provincial boards and retailer stores. Shipping records will need to be maintained in our “seed to sale” system [Elevated Signals].
- Maintain and update outbound shipment trackers in Excel, the task requires attention to detail, speed, and accuracy.
- Identify logistics issues that prevents the business from delivering goods On Time In Full No Errors - OTIFNE.
- Be responsible for inputting ordering data on the Procurement software, communicating with vendors, tracking shipments, identifying cost savings and improvements to the process. This person should be operationally minded and thrives in a fast-paced, start-up environment.
- Support palletization of outbound goods as needed, based on the Rubicon’s clients requirements.
- Help with purchasing of packaging materials from pre-approved Vendors.
- Help with vendor onboarding and set them up in our Procurement software. Facilitate the review, verification and approval of new Vendor account set up by gathering necessary documents, such as invoice or a letter from supplier, as proof to set up a new supplier.
- Facilitate the return of items to appropriate suppliers when needed.
- Liaises with the Accounts Payable and Finance teams with regards to purchase requirements and requisitions, invoices, cost discrepancies, and address re-occurring concerns.
- Partner with other teams to identify opportunities for improvement and ensure Procure-to-Pay [P2P] process flows smoothly.
- Collaborate with Accounts Payable and Warehousing to make sure the three-way matching is achieved. A three-way match is the process of cross-referencing and verifying your expenses using a set of three different documents - the Purchase Order, the Invoice, and the Receipt - to avoid any erroneous charges.
- Establish collaborative working relationships across other departments (i.e. Finance, Operations).
- Own and update the catalogue in our Procurement software.
- Other activities as required by the Manager.
**Requirements**:
- Degree/Diploma in Business, Procurement, Logistics, Supply Chain Management, or related field.
- 2+ years of experience in similar role [Procurement and/or Logistics] is an advantage.
- Passion and interest for the Cannabis industry.
- Strong attention to details, speed, and accuracy.
- Proficiency in MS Excel (intermediate to advanced level).
- Excellent skills in work organization and operating under pressure.
- Strong work ethic.
- Excellent written and verbal communication skills.
- Ability to work in a fast-paced and start-up environment while maintaining attention to detail.
- Experience working with Procurify, and Elevated Signals is an asset.
- Previous cannabis industry, greenhouse agricultural operations, manufacturing or pharmaceuticals experience is a strong advantage.
- Previous experiences with BCLDB and other provincial boards is strong advantage.
- SCH - Security Clearance Holder credentials are a strong advantage.
- Excellent time management and prioritization skills.
- Ability to interact with a wide variety of people at all levels within an organization.
