Slim and Fit Solutions is a wellness and weight loss clinic located in the heart of Toronto. We specialize in nutrition counseling, body contouring treatments, and personalized wellness programs. We are currently seeking a **Farsi-speaking Medical Office Administrator** to join our growing team.
**Job Summary**:
We are looking for a highly organized and customer-focused administrator who is fluent in **Farsi and English** and has strong **accounting skills**. **A minimum of 2 years of experience working in a medical, wellness, or beauty clinic is mandatory.** You will manage front-desk operations, assist with billing, support marketing efforts, and ensure a smooth and welcoming experience for all clients.
**Key Responsibilities**:
**1-Patient Interaction**
- Greet and check in/out patients
**2-Appointment Scheduling**
- Schedule and confirm appointments
- Manage cancellations, waitlists, and follow-ups
**3-Administrative Tasks**
- Maintain electronic medical records (EMR)
- File, scan, and upload documentation
**4-Insurance & Billing Support**
- Verify insurance coverage and collect documentation
- Process payments and handle billing questions
**5-Accounting & Financial Record Keeping**
- Maintain accurate financial records per client
- Track all payment types (cash, card, insurance, direct billing)
- Issue receipts with proper timestamps and service details
- Monitor outstanding balances and send reminders
- Assist in preparing weekly/monthly financial summaries and bookkeeping
**6-Marketing & Patient Engagement**
- Make reminder and follow-up calls
- Reactivate previous/inactive clients
- Promote new services and offers
- Visit neighboring businesses to introduce clinic services
- Call leads with verified insurance coverage to encourage bookings
**7-Office Management**
- Keep the front desk and waiting area tidy and organized
- Order office and medical supplies
- Report maintenance or equipment issues
**Qualifications (Must-Haves)**:
- **Fluency in Farsi and English** (spoken and written)
- **Minimum 2 years of experience in a medical, wellness, or beauty clinic** (required)
- **Accounting or bookkeeping experience**:
- Familiarity with CRM and EMR systems and scheduling software
- Professional, friendly, and detail-oriented
- Strong communication and time-management skills
- Knowledge of insurance billing and direct billing is a plus
