**Position summary**

The role of the Special Projects Officer and Executive Assistant to the SVP & CDO will provide support for the effective operations of the Advancement department providing complex and confidential administrative, analytical, research and project management duties, as well as supporting key development opportunities with high net worth donors. This role will be responsible for the day-to-day operations of the office of the SVP & CDO including calendar coordination, correspondence, meeting preparation and recording, as well as any administrative tasks to ensure the office operates in an effective, efficient and well-organization manner. The role requires considerable confidentiality, initiative, tact, and mature and independent judgment. This role will also play a key role in the donor management and coordination on behalf of the SVP & CDO.

**Accountabilities**
- Manage the SVP & CDO’s calendar and schedule meetings including recurring meetings with direct reports, meeting preparation time, follow up, and protected time for the completion of specific tasks.
- Prepare the SVP & CDO for internal and external meetings including preparing meeting materials, room bookings, and Zoom/MS Team meetings.
- Prospect and donor management and coordination on behalf of the SVP &CDO to ensure that cultivation, solicitation and stewardship processes are maintained.
- Manage and conduct special fundraising and other projects as determined by the SVP & CDO.
- Act as the main contact between the CEO / VP, MG and volunteer leadership, physicians and other hospital stakeholders to provide development support.
- Effectively liaise with the CEO’s administrative team for timely and effective sharing of materials and reports.
- In collaboration with the SVP & CDO, proofread documents and meeting materials prior to distribution.
- Provide administrative and operational support at team and leadership meetings as needed including the scheduling of monthly meetings, coordination of meeting materials and follow up on decisions, action items determined at each meeting and tracking of the accomplishment of assigned tasks between meetings.
- Assists SVP & CDO and other members of the Advancement Team on special projects
- Prepare meeting materials, briefing documents and information packages as needed
- Assist in the review and/or preparation of monthly reports, financial receipts, expenses, and other operational documents as needed.
- Initiate and track requests for writing and research, as needed.
