**Main Purpose & Function**

The Community Event Assistant plays a key role in providing overall coordination at city facilitated outreach events such as reuse and recycling drop-offs and repair workshops and represents the City at other special events. The Event Assistant is responsible for managing, coordinating, and directing partners, sponsors, and volunteers at these events as well as promoting and relaying key messages on various solid waste programs to the general public.

**Specific Duties & Responsibilities**

Acts on behalf of the City as the overall event coordinator at various city facilitated outreach events. Duties include, but not limited to, the following:

- Ensure adequate volunteers show up for each event,
- Connect with event site contact prior to the event,
- Arrange for site signage if necessary,
- Ensure Sanitation provides garbage pickup post event,
- Pack and transport event supplies from the office/storage to the event site,
- Return event supplies back to the office/storage after the event,
- Coordinate site set up and take down with event partners and volunteers,
- Ensure traffic flows safely according to plan,
- Ensure site is cleaned and free of debris at the end of the event,
- Brief volunteers on their role and ensure health and safety protocols are understood and applied at all times by partners and volunteers,
- Take photos during the event,
- Provide work direction to partners and volunteers at the day of event,
- Assist and answer questions from the public,
- Work with partners and volunteers to trouble shoot unforeseen issues at the event,
- Notify supervisor or appropriate personnel if issues cannot be addressed,
- Notify supervisor if supplies gone missing or broken, and
- Recommend event improvements or risks to supervisor
- Participates at public meetings, special events, presentations, workshops, and open houses, as required, outside of regular business hours, including evenings/weekends;
- Delivers and picks up supplies to and from other departments or external organizations as required;
- Assists in keeping storage room clean and organized;
- Provides office and clerical support to the branch as required;
- Other duties/responsibilities as assigned.

Events usually occur during the weekends. This position will work when a community event is scheduled and work can occur on any days during the week.

**Qualifications**

Education and Experience:

- Completion of Grade 12, with some experience in working in managing and coordinating public events OR an equivalent combination of training and experience;
- Training or experience in community-based social marketing and solid waste management is an asset;
- Experience working with youth is an asset;
- Some supervisory experience is an asset;
- A current and valid BC driver’s license

Knowledge, Skills, and Abilities:

- Demonstrated ability to work independently, with little or no supervision, in a fast paced environment;
- Effective organizational and interpersonal skills; excellent written and verbal communication skills;
- Demonstrated ability to work collaboratively in a team environment, provide team leadership, and adapt to changes in the workplace;
- Ability to deal tactfully and effectively with the general public;
- Ability to provide excellent customer service and create and maintain effective working relationships with representatives of event partners, volunteers, government officials, community groups, general public, and other external & internal contacts;
- Experience coordinating events, including planning and managing logistics with a high degree of independence;
- Ability to make sound decisions, problem-solve, and provide alternate solutions;
- Working knowledge of environmental, social, and financial objectives and policies of the City of Vancouver and all other levels of government as they relate to waste management is considered an asset;
- Experience in public speaking and outreach to large group of audience is considered an asset;
- Be able to lift 25 to 50 lbs;
- Familiarity with the City’s Greenest City Action Plan, Zero Waste 2040 Plan, and Single-Use Item Reduction Strategy is considered an asset;
