**Title**: _Medical Office Assistant_

**Summary**

The Victoria Youth Clinic Society, lead agency for Foundry Victoria is seeking two _Medical Office Assistants_. The positions are available immediately with the option of full time (5 days/week, 37.5 hrs) or part time (3 days/week, 22.5 hrs)

Foundry Victoria is an integrated youth and young adult service delivery model comprising primary health, mental health, substance use, social services, and peer support. In accordance with a patient, client and family centered model of care and in accordance with the Mission, Vision and Values and strategic directions of the Victoria Youth Clinic Society and Foundry, this position promotes a safe, respectful, and civil working environment for patients, families, visitors and staff.

Reporting to the Centre Manager, the Medical Office Assistant performs a variety of administrative, secretarial, and general clerical duties such as welcoming incoming clients, answering phones, redirecting calls, screening and prioritizing incoming correspondence and maintaining appointment calendars for designated staff. Performs reception duties, and receives and processes intake referrals, answers routine inquiries, and books appointments.

**Education and Experience**

Grade 12, medical office assistant course from a recognized institution plus at least two (2) years’ recent, related experience, or an equivalent combination of education, training, and experience.

**Knowledge, Skills, and Abilities**
- Knowledge of the principles and practices of office and community clinic management.
- Youth-friendly, culturally sensitive, and non-judgemental.
- Knowledge of medical terminology.
- Ability to work independently and in cooperation with others.
- Able to work as part of an inter-disciplinary client-focused team and to participate in meetings.
- Able to deal with public in a tactful and courteous manner.
- Ability to maintain effective working relationships with employees, clients/patients, other service providers, and the general public.
- Comfortable and creative with IT, and able to operate related equipment (computer, multi-line telephone, scanner, photocopier, facsimile)
- Proven skills to work in a Windows environment with Microsoft Office suite (mainly Outlook, Word, Excel, Teams), and clinical databases (including experience with EMR).
- Ability to maintain confidentiality and to communicate effectively both verbally and in writing.
- Ability to work under pressure, to multi-task, to problem-solve, to take initiative, to anticipate potential problems/conflicts and take appropriate actions, to organize and prioritize workload and meet deadlines.
- Ability to adjust to short-term change quickly and calmly.
- Physical ability to carry out the duties of the position.

**Key Duties and Responsibilities**
- Assist with clinic and program activities by answering phones, greeting clients, directing clients to appropriate partner services, checking appointment lists, assembling, and obtaining relevant client information and ensuring sufficient clinical, stationary, and client literature supplies are on hand.
- Respond to calls/answers inquiries regarding routine program information, relaying phone messages to staff, and greeting clients in waiting area.
- Answer routine inquiries about services, advises callers of services in the community and refers inquiries as appropriate and following protocols for obtaining assistance in an emergency/crisis situation.
- Maintain levels of general office and clinic supplies and ensures equipment maintenance by methods such as troubleshooting office equipment problems.
- Assist staff with maintaining orderliness of work areas.
- Perform a variety of clerical functions such as arranging for couriers, calling taxis and/or handing out vouchers for clients, filing, photocopying and faxing.
- Perform other related duties are assigned.

The starting hourly wage is $24 with an extended health benefit package after the successful completion of the 3-month probation period.
