**Job Summary**
The **Director of Administration** is the senior administrator in the Department of Pediatrics and provides operational & financial management to support the academic department and the McMaster Medical Pediatrics Associates (MPPA) mandates in teaching, research and patient care. The operations of the Department are supported by the staff and managers of the Department all of whom report to the Director. The Director provides administrative leadership to departmental/MPPA visioning and strategic planning and is a resource to the Faculty of Health Sciences (FHS) and teaching hospitals (particularly McMaster Children’s Hospital (MCH)).
We are seeking an accomplished and forward-thinking **Director of Administration** to lead and support the Department of Pediatrics and the McMaster Medical Pediatric Physicians’ Association (MPPA) through a period of strategic growth and transition. Reporting directly to the Department Chair/Chief with a secondary reporting relationship to the Chief Operating Officer, Clinical Services, this pivotal role provides executive-level oversight of all administrative functions across clinical, academic, research, and financial domains.
As Director of Administration, you will:
- **Strategic Planning, Oversight and Advisory**:
- Drive strategic and operational planning across departmental programs, working collaboratively with hospital and university partners.
- Acts as a key advisor to the Department Chair/Chief, providing strategic guidance across departmental, faculty, and hospital environments.
- Co-develops strategic plans that align the goals of the Department, MPPA, Faculty of Health Sciences, McMaster Children’s Hospital, and affiliated hospitals.
- Participates in decisions regarding clinical service changes, program development, and resource reallocation, including space planning, staffing, and budgeting in collaboration with hospital administration.
- Contribute to major change management efforts, guiding the department through evolving priorities in healthcare delivery, academic programming, and clinical practice.
- **Financial Management**
- Lead the financial management of a $45M+ portfolio, overseeing multiple complex budgets, compensation structures, AFP funding, and research administration.
- Leads all financial management and reporting for AFPs within the Department, liaising with HAHSO and HAPPA; manages Pediatric Emergency AFA funding and strategic financial planning.
- Negotiates funding support for salaries and infrastructure with hospitals and external agencies; acts as primary liaison with hospital CEOs/COOs and foundations.
- Solicits external funding, contributes to and manages research funding, and administers endowed chair and professorship resources.
- Provides financial and HR reporting; prepares detailed AFP reports for external auditors in collaboration with the finance team.
- **Operational Management**
- Leads the effective and efficient management of all Department operations, including faculty recruitment, HR, finance, research, and teaching.
- Support major faculty and staff transitions, recruitment strategies, and organizational development initiatives that ensure operational excellence.
- Develops departmental crisis response plans to ensure operational continuity.
- Designs and manages database systems for tracking academic activities, including research and education metrics for all department members.
- Ensures departmental projects align with University policies and procedures and that hospital and university appointments are fully integrated.
- **Inter-Institutional Management**
- Manage inter-institutional relationships with key stakeholders at McMaster Children’s Hospital, Hamilton Health Sciences, St. Joseph’s Healthcare, and the Ministry of Health.
