Logistics/admin Assistant

**Responsibilities**:
1. Logistics
- Assist logistics team with securing freight and scheduling inbound, outbound, and direct shipments of steel products
- Negotiate freight rates
- Coordinate and effectively communicate with freight providers, storage yards, steel suppliers, and customers to ensure timely delivery of goods and strong customer service
- Track shipments, active customer orders, and open purchase orders. Resolve issues as required.
- Assist sales and purchasing team with inquiries re: freight rates, available freight providers, and transit times
2. Inventory Management
- Enter shipping documents into CRM software to adjust inventory volumes. Monitor inventory levels daily and advise of discrepancies or concerns.
- Support physical inventory counts of steel goods
- Assist in monthly inventory reconciliations and audits
3. Quality Control and Documentation
- Ensure timely receipt of mill test reports from suppliers. Collect documents and file accordingly.
- Organize independent tests on steel products and collect test results.
- Provide mill test reports to customers as requested.
4. Administrative Tasks
- Prepare reports, spreadsheets, and documentation for internal use (reconciliations, analysis, etc.)
- Maintain digital records in CRM software and shared files
- Process paperwork, including printing and distributing operations invoices, data entry, filing, etc.
**Required Qualifications**:
- Minimum of two years of experience in an Operations role or a similar is an asset
- A college diploma or University degree in Business, Supply Chain Management, Purchasing, Logistics or related areas is an asset.
- Strong computer literacy, including strong proficiency with Microsoft Excel, Microsoft Word and Microsoft Outlook, is an asset.
- Experience using Microsoft Dynamics GP, Microsoft CRM or a similar CRM or ERP system for data entry, reporting and inventory tracking is an asset.
- Excellent Customer service, attention to detail, planning, and organizational skills.
- Strong analytical and problem-solving skills.
- Ability to remain focused and multi-task in a fast-paced environment.
- Willingness to act as a team player and assist co-workers as needed.
- Collaborates and communicates very well with internal and external stakeholders, both verbally and in written format.
- Bilingual in English & French - preferred
Pay: $45,000.00-$50,000.00 per year
