**Scope of the Role**
As a Workplace Experience Coordinator, no two days will look the same This indispensable role keeps our downtown Ottawa office running smoothly. You will welcome employees and visitors to Recollective with a smile, make office supplies appear by magic, arrange to have our squeaky door fixed before we knew it was broken, prevent ‘hangry’ employees by stocking our cupboards with complimentary snacks and drinks. You will keep our facilities looking beautiful and safe, you will coordinate flexible office space for our amazing teams, you will lead the organization of meetings, events & conferences, social gatherings, holiday parties and so much more. **Role Responsibilities**
- Greets employees, clients and visitors making an unforgettable first impression
- Provides general office administration, including physical mail collection and distribution, courier and delivery management, managing office supplies, and answering phone calls
- General upkeep and presentation of the physical workplace including managing our relationship with a range of contractors including facility management, HVAC, commercial cleaning, artwork rental, plant care services, etc.
- Send meeting invitations, organize meeting facilities (internal and external) and arrange for catering, when required
- Stock our kitchen with beverages and snacks
- As the corporate travel coordinator, makes business travel arrangements for Recollective employees and visitors
- Maintain the cleanliness and presentation of kitchen, conference rooms, workspaces and office in general
- Coordinate spacing requirements and logistics for new hires
- Plan special functions and events, both on and off site, in accordance with our Company Sponsored Events Protocol. This may include vendor management, scheduling appointments, travel arrangements, etc.
- Act as the Recollective designate at company-sponsored events to help ensure a safe, respectful and inclusive experience for all
- Spearhead our Health & Safety committee and initiatives and act as a Fire Warden
- Provide administrative support, as required, which may include, preparing correspondence, presentations, reports, meeting agendas and minutes, scheduling/managing travel, calendar management, etc.
- Devise ways to continuously improve office operations
- Assist with special projects, as required
**Required Skills and Experience**
- Experience coordinating international, corporate travel will be considered an asset
- Superb attention to detail and organizational skills
- Superior time management skills with a demonstrated ability to multi-task and prioritize competing demands in the workplace
- Experience using Microsoft Office and Google Sheets is an asset
- The ability to confidently and effectively work with Directors and the Executive team
