Property Assistant

**Description**:
This position works with the Property Services Coordinator to ensure efficient support for the external and internal resources related to the Property Department and its related services. Reporting to the Property Manager, while receiving delegated tasks from the Property Services Coordinator, this role provides administrative and scheduling support while maintaining comprehensive records and producing reports.
**Key Responsibilities**:
1) Property & Finance Department Administrative Support
- Checks Order Tracking System (OTS) on regular basis for new property requests and issues, and follow up on existing requests
- Uploads documents to OTS
- Assists with coordination of location visits for quotes, maintenance and installation from outside contractors or vendors
- Prepares financial verification for completed work and expenditures to submit to Property Manager for approval
- Maintains emergency contact lists
- Coordinates meetings regarding property and takes minutes
- Arranges for moving and refuse disposal
- Conducts income verification for individuals
- Distributes location keys
- Provides mail support including courier services
- Maintains inventory of taxi chits and supplies residences
- Assists with general administrative tasks as required
- Support to finance administration, as required
2) Reports and Research
- Researches and obtains quotes for various services
Prepares data reports as required by department, internal stakeholders or government body
**Skills, Knowledge and Expertise**:
1) Qualifications
Formal Education and Experience
- Office Administration Diploma or similar
- Minimum 1-2 years administrative experience
- Previous experience within the field of construction or property management preferred
- Technological skills in Microsoft Office Suite required, some knowledge of basic accounting preferred
- Ability to learn Order Tracking System
