**Summary**
The Construction Division Administrator will be responsible for a variety of tasks within our Construction Division from information tracking, creating purchase orders to coordination of schedules and equipment. The Construction Division Administrator is a team player and a vital member of CFLS’s Construction Team.
- Assist in the Project Management administration tasks including updating and recording meeting minutes for Large Contract meetings, updating project management software to reflect current project status, and tracking and collecting required close out documents
- Open all new Construction Job Numbers and distribute
- Monitoring and ensuring project documents are up to date and filed in the correct project folder
- Collecting, printing, and laminating of hydraulic placards as needed and coordinating distribution to different branches
- Participate and collect required eCompliance reports and send out to General Contractors as requested
- Collect, maintain, and complete close out binders for all large contract jobs
- Track and manage required engineering site surveys
- Main reception coverage on as needed basis
- Be trained as a back up for other administrative tasks including processing time sheets, fire alarm project tasks (permits, invoicing, job setup, engineering close outs)
- Assist in Large Fire Alarm project tasks and administration
- Other administrative tasks assigned by the Director of Construction Operations as needed

- Must be able to multitask and prioritize
- Very strong organizational skills for people and information
- Efficiency in Word, Excel, Outlook
- Strong interpersonal skills with staff and customers
- Keen understanding of customer care
- Enjoys working in a team environment
