**Job Summary**
We are seeking a Customer Service Administrator to join our sales team. This position plays a vital role in ensuring smooth daily operations, managing communications, and providing exceptional service to prospective and existing customers. You will be the first point of contact for inquiries, nurturing leads and supporting our Greenhouse Experts throughout the sales process.

**Key Responsibilities**

**Phone Management and Call Direction**
- Maintain awareness of the sales team’s day-to-day activities to effectively screen and direct incoming calls
- Schedule and organize meetings for sales experts, ensuring calendars are accurate and up to date
- Greet all callers and visitors with professionalism and warmth
- Record and deliver messages promptly and accurately

**Incoming Inquiry Management**
- Manage incoming leads, ensuring timely responses and thorough follow-ups
- Qualify potential customers by providing accurate product information and guiding them through the initial stages of engagement
- Assist with preparing sales quotes, ensuring accuracy and timeliness
- Focus on optimizing lead conversion and enhancing overall customer experience

**General Customer Service and Sales Support**
- Troubleshoot and resolve customer issues efficiently, escalating complex matters when necessary
- Support product shipment crate management and ordering as needed
- Implement strategies to boost customer satisfaction and loyalty through personalized service and follow-up
- Maintain detailed records of customer interactions, transactions, and feedback

**Qualifications**

**Experience**
- Proven experience in a customer service or administrative role, preferably in a sales environment

**Organizational Skills**
- Strong multitasking ability in a fast-paced office; can prioritize effectively

**Communication Skills**
- Excellent written and verbal communication abilities
- Active listening skills with the ability to adapt to diverse audiences and build rapport

**Problem-Solving**
- Strong aptitude for identifying and resolving issues quickly and efficiently

**Professionalism**
- Friendly and approachable demeanor with a professional attitude

**Teamwork**
- Able to work independently and collaboratively within a dynamic team environment

**Technical Skills**
- Familiarity with AutoCAD considered an asset
