**Job Summary**:
This position provides administrative support to the Director as well as the other areas within the Water & Wastewater Treatment division.

**Duties & Responsibilities**:

- Coordinate the activities for the Director and Divisional Management team including preparation of Committee and Council reports, memoranda, project schedules and special projects as required.
- Assist with the preparation and monitoring of the divisional budget including the processing of invoices for daily expenditures and special projects and reconciles spending as required. Assists with preparing requests for proposals and obtains approvals of purchase orders.
- Respond to questions/concerns related to the division in a professional and timely manner to ensure each issue is dealt with or referred to the appropriate office/field personnel.
- Coordinate and attend divisional working groups, meetings, workshops and special activities to ensure required attendees are present and minutes are taken and distributed in an accurate and timely manner.
- Tracks and reports on strategic initiatives, including assistance with preparing presentations.
- Provide administrative support and back-up to the other divisions within Public Works including the office of the Commissioner as required.
- Ensure the efficient operation of the Director’s calendar by organizing and scheduling appointments.
- Ensure the efficient operation of the division by maintaining annual vacation planners, booking conferences and conventions and accommodations.
- Manage confidential and administrative files for the Director’s office.

**Skills & Qualifications**:
**Essential**
- Post-secondary education in business/office administration program.
- Minimum of five (5) years of progressive administrative experience.
- Experience with document management, managing budgets and expenses and calendar management.
- Knowledge of SAP.
- Experience with managing calendars, scheduling appointments, and preparing correspondence.
