**About Us**
North Western Property Maintenance Inc. (NWPM) is a well-established landscape maintenance and construction company specializing in synthetic grass, paving stone installations, and commercial property maintenance. We are looking for an experienced **Office Manager** to oversee daily operations, financial management, and winter coordination for our salting and plowing division.
**Position Overview**
**Key Responsibilities**
**Office Management & Operations**
- Oversee all administrative functions, ensuring smooth day-to-day operations.
- Manage and support a virtual assistant for administrative and clerical tasks.
- Create and maintain **Standard Operating Procedures (SOPs)** to improve efficiency.
- Ensure proper inventory tracking and ordering systems are in place.
**Financial Management**
- **Payroll Management**: Process payroll accurately and on time through **ADP.**:
- **Accounts Payable & Receivable**: Ensure timely payment of invoices and **follow up with customers on overdue accounts.**:
- **QuickBooks Expertise**: Maintain accurate financial records, generate reports, and assist in financial decision-making.
**Winter Coordinator Responsibilities (Salting & Plowing Season)**
- **Schedule and dispatch crews** for winter services.
- Monitor real-time weather conditions and adjust operations accordingly.
- **Confidently handle client communication and complaints, ensuring quick resolutions.**:
- Ensure resources are allocated efficiently to maximize response times.
**Hiring, Training & Employee Relations**
- Assist in recruiting and onboarding new employees.
- Implement and manage an **employee recognition program** to improve retention.
**What We’re Looking For**
- **Education**:Bachelor’s degree in Business Administration (BBA) required.**:
- **Experience**: Minimum **5 years** in office management, preferably in construction, property maintenance, or a related industry.
- **Software Proficiency**:Expert-level QuickBooks experience required.** Must also be proficient in ADP Payroll.
- **Phone Confidence**: Must be comfortable and professional when calling customers regarding overdue payments.
- **Strong Leadership & Problem-Solving Skills**: Ability to work independently and handle high-pressure situations, especially during peak winter operations.
- **Highly Organized & Detail-Oriented**: Must be able to manage multiple responsibilities with accuracy and efficiency.
