In this full-time, permanent in-office position, you will play a crucial role in maintaining seamless office operations while also providing essential support across various accounting functions. Serving as the welcoming face of our organization, you will greet visitors warmly and handle calls with professionalism, embodying the Habitat principles of positivity and friendliness. Reporting directly to the VP and Financial Manager, we are currently seeking an outgoing, highly organized, and detail-oriented individual who takes pride in administrative responsibilities.
**Responsibilities**:
- Answering and redirecting general incoming phone calls (average of 10-15 calls per day)
- Greeting visitors and maintaining reception, kitchen, and boardroom set-ups & equipment
- Booking travel and accommodation for staff
- Management of the company cell phone plans ensuring cost effectiveness
- Coordinating team celebrations and client gifts
- Handling mail distribution and couriers
- Maintaining office key records
- Main contact for secured alarm company
- Ordering office supplies, furniture and troubleshooting office equipment
- Assisting with new hire office set-ups
- Updating insurance documents, producing WCB reports & obtaining business licenses
- Helping the Marketing Events Coordinator with client events/ team including BBQs etc.
- Processing Visa and expense reports
- AP and AR (data entry, statements, and reports)
- Conducting credit checks (AP and AR)
- Collections
- Filing & document scanning/ searching
- Handling petty cash and office VISA card
- Supporting accounting month end/ year end and matching
- Helping with cheque/direct deposit runs and timesheets
- Other general office and accounting projects as assigned
This position is 40% general office administration and 60% accounting support related.
**Skill Requirements**:
- Excellent communication skills in English - both verbal and written
- Adept at handling multiple requests and skilled in devising prioritization systems
- Intermediate knowledge of Microsoft Office - Word, Excel and Outlook
- Demonstrates a strong sense of organization, punctuality, and detail oriented
- Education in Administration or Accounting considered a valuable asset
- Possesses prior work experience in comparable positions
**Location**:
Our head office is located at 3762 Napier Street in Burnaby (off of Boundary road in between First and Hastings). It’s a great central location with many places within a 5 minute drive and/or walk (including the new Brentwood Mall) to enjoy your one hour lunch break. This position is a full-time office role. We typically have very little walk-in traffic.

**Salary**: $44,000.00-$50,000.00 per year
