**The Bethania Group** is currently recruiting for a full time **HR Staffing Coordinator**position. This position is Monday to Friday, from 8:30am
- 4:30pm paid 75 hours biweekly.

In accordance with the Mission, Vision and Values of Bethania Mennonite Personal Care Home, the HR Staffing Coordinator is responsible for updating and maintaining the scheduling component of Quadrant Workforce. This position is the primary source of scheduling for the Nursing Departments for both Bethania and Pembina Place Mennonite Personal Care Homes, as well as the Food Services Department at Bethania Mennonite personal Care Home. This position functions within a multi-site organization that is committed to providing excellence in service to elderly clients within the health care continuum.
- **Qualifications**_
- Grade 12 education or equivalent.
- Experience in high volume employee scheduling environment required.
- Formal customer Service Training will be considered an asset.
- Previous experience in a unionized environment with contract interpretation is an asset.
- Previous basic Human Resource experience will be considered an asset.
- **Knowledge, Skills, Abilities**_
- Proficient use of computers and word processing skills using Microsoft Office.
- Previous experience using Quadrant Workforce software and/or scheduling software in a healthcare setting isa definite asset.
- Ability to multi-task and meet time sensitive deadlines in an effective manner.
- Ability to organize and reprioritize as the workload dictates.
- Demonstrated initiative and the ability to work under mínimal supervision.
- Demonstrated ability to deal with difficult situations in an efficient and effective manner.
- Ability to problem-solve and present suggestions and ideas to resolve any issues as they arise.
- Demonstrated ability to establish and maintain good working relationships with staff, managers, and outside agencies.
- Excellent interpersonal, oral and written communication and organizational skills.
- Open to learning and accepting feedback.
- Demonstrated ability to maintain confidentiality in all matters relating to the Corporation, staff and residents.
- **Major Responsibilities**_
- Maintains Master Schedule templates for all departments within The Bethania Group.
- Ensures that staffing levels for both PCH Nursing departments and Food Services Department at Bethania Mennonite Personal Care Home are met.
- Ensures compliance with all applicable Collective Agreements.
- Runs various reports including banked time, Daily Staffing Sheets and forwards to appropriate departments within timelines.
- Enters and tracks receipt of Daily Staffing Sheets on a daily basis.
- Approves all Bethania Group schedules for processing of biweekly payroll.
- Receives and processes Time Off Requests as per guidelines.
- Ensures extra available shifts and sick call replacements are performed within timeframe guidelines while ensuring equitable distribution according to collective agreements.
- Responsible for ensuring confidentiality of all material relating to employees and labour relations.
- Communicates with various external staffing agencies to coordinate staffing levels as required.
- Receives and verifies all Agency invoices prior to submission to Accounts Payable.
- Compiles and produces all required reports for WRHA where 1:1 funding is required.
- Completes Christmas schedule according to Collective Agreement guidelines.
- Participates in annual vacation booking process, including preparation, meetings, entry into Quadrant Workforce and equitable distribution where applicable.
- On-going recalculation and entry of vacation changes with equitable distribution where applicable.
- Assists in developing Human Resources policies and procedures.
- Participates in facility orientation and presents information applicable to Human Resources and Staffing as necessary.
- Acts as the primary resource to employees in relation to staffing of positions, Time Off Requests, Vacation Requests/Changes, Human Resource practices, etc.
- Enters new hires into QHR.
- Designate proxy cards and photo ID’s to staff
- Creating new employee files
- Filing paperwork
- Assists Director of Human Resources with departmental projects.
- Assists Director of Human Resources on an ongoing basis with clerical support including postings and awarding of positions, etc.
- Participates in various internal and external committees as required.
- Other related duties as assigned.
