Instrument Tracking and Data Entry Clerk

**Job Summary**:
We are looking for a highly organized and detail-oriented Instrument Tracking and Data Entry Clerk to join our team. In this unionized position—officially designated as STS Support (Non-MDR Technician)—you will be responsible for the accurate tracking, documentation, and reporting of all instruments and equipment using our customized STS tracking software.
**Key Responsibilities**:
**Instrument Tracking and Data Entry**:
- Accurately log and track all instruments and equipment within the instrument tracking system.
- Monitor the movement of instruments through each reprocessing stage, including decontamination, inspection and assembly, sterilization, and dispatching.
- Ensure proper documentation of tray and instrument locations for quick retrieval and efficient workflow.
**Quality Control and Compliance**:
- Perform regular audits of instrument data to verify accuracy and completeness.
- Ensure tracking system data aligns with healthcare standards, regulatory guidelines, and internal quality protocols.
- Flag and report discrepancies or inconsistencies in tracking data to supervisors or quality assurance staff.
**System Maintenance and Troubleshooting**:
- Conduct routine checks on the tracking system software to ensure optimal functionality.
- Troubleshoot and resolve minor technical issues, coordinating with IT support as necessary.
- Participate in system upgrades or updates, providing feedback on user experience and process improvements.
- Create and update recipes and instructions based on client change requests, as needed.
**Collaboration and Communication**:
- Work closely with MDR technicians to ensure the timely and accurate entry of instrument data.
- Communicate with customers regarding instrument availability, status, and processing issues.
- Coordinate with vendors regarding loaners, recipe adjustments, and other instrument-related concerns.
- Provide internal communication to supply information and reports needed by other departments.
- Train MDR staff on the proper use of the tracking system, as needed.
**Inventory Management**:
- Maintain accurate records of instrument inventory, flagging shortages or damage for timely replacement.
- Track outgoing/incoming repairs and instrument replacements.
- Assist with inventory reconciliation, helping to locate and account for instruments across the facility.
- Report lost or damaged instruments per protocol to ensure accountability and continuous improvement.
- Initialize and laser instruments as per customer requirements.
**Documentation and Reporting**:
- Generate and provide related reports, including but not limited to discrepancy reports.
- Maintain records for reporting metrics such as instrument turnaround time and missing instruments.
- Contribute to regular reviews of tracking data to identify and implement efficiency improvements.
**Qualifications**:
- High school diploma or equivalent required; associate degree in a related field preferred.
- Prior experience with instrument tracking systems and data entry in a healthcare or sterile processing environment is a plus.
- Strong attention to detail and organizational skills.
- Knowledge of healthcare standards, regulatory guidelines, and quality control processes preferred.
- Ability to troubleshoot minor system issues and coordinate with IT support as needed.
- Strong communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, etc.).
- Ability to train and support staff on system use.
Pay: $20.50 per hour
