**Position Overview**: **Key Responsibilities**: - Leadership & Staffing_ - Lead and manage a high-performance team, fostering collaboration and accountability. - Conduct performance appraisals and encourage professional growth within the team. - Oversee hiring processes, including job postings, interviews, and onboarding. - Ensure all staff complete necessary training (e.g., WHMIS, Privacy, emergency protocols) and maintain training records. - Plan team-building activities and events. - Collaborate with team members on strategic projects and clinic initiatives. - Office Operations_ - Maintain professional, efficient daily operations with a focus on "best in class" patient care. - Develop and update office protocols and procedures. - Manage patient-facing materials (handouts, samples, etc.). - Ensure insurance policies and documentation are current. - Take responsibility for following through on tasks within the scope of the role. - Marketing Advertising_ - Manage clinics digital presence (Google, social media, website). - Develop marketing initiatives and oversee promotional events. - Supplies & Equipment_ - Manage inventory and equipment maintenance. - Facilitate new equipment purchases and vendor communications. - Financial Oversight_ - Reconcile invoices and maintain financial records for the bookkeeper. - Monitor and optimize operational costs, prioritizing the financial health of the clinic. - Negotiate with suppliers to achieve cost efficiencies. - Academic & Research Support_ - Schedule teaching commitments and coordinate with UWO for student rotations. - Oversee clinic-based research activities. **Required Skills & Experience**: - 2+ years in an administrative role, preferably in healthcare. - Proven leadership and organizational skills. - Confidentiality regarding clinic operations and patient information. - Proficiency with Microsoft Office and EMR systems. - Strong communication and problem-solving abilities. - Commitment to professionalism, including punctuality and clear communication. **Benefits**: - Paid time off and holidays - Health Spending Account - Professional development opportunities - Staff discounts on skincare products and services - On-site parking **Application Process**: Submit the following materials: - Cover letter detailing your interest and qualifications. - Current resume or CV. - Contact information for two professional references.
