**Position **:Customer service representative/ service advisor - Service Department

**Reporting to:

- **Service Manager*

**Responsibilities include**:

- Providing customers with detailed estimates for work both verbally and written
- Ensuring customers requests are met, and work is performed based on provided estimate
- Check the progress of work throughout the day. Communicate with clients regarding any changes to estimate or time frame for completion of work. Explain in detail costs and time required and obtain appropriate authorization before completing additional work.
- Calling customers to inform them that their vehicle is ready for pick up.
- Preparing customer invoices, accepting customer payments and providing customers with their key.
- Ensure that all customer invoices are paid upon pick up of their vehicle.
- Preparing work orders for mechanics and entering in NAV.
- Preparing purchase orders for stock vehicles, invoices for Claireview leasing and purchase orders in Claireview leasing for work performed on Claireview’ s stock vehicles.
- Preparing purchase orders for detailing services for stock vehicles.
- Create and maintain an excel spreadsheet for tire storage to optimize efficiencies in the tire season.
- Ordering tires and or mags according to vehicle specifications and send tire quoted to customers.
- Preparing tire tags.
- Coordinating with mag repair specialist as well as other vendors for work needed (tints
- scratch removal
- dent removal ect)
- Handling/ filing insurance claims and following up with insurance companies for bodywork/ accident claims/ windshield replacement claims
- Maintaining logs of courtesy cars/ daily rentals
- Ensuring courtesy cars are clean and full of gas
- Ability to provide customer advice when broke down/ on side of the road (organizing towing if necessary)
- Arranging appointments for customer at dealerships for warranty related work on their vehicle if need be.
- Handling new car deliveries and ensuring vehicles are delivered without any damage
- visual inspection
- coordinating delivery with reception.

**Requirements**:

- Proficient with Microsoft Office (Excel, Word & Outlook)
- Excellent communication and people skills
- Ability to multi-task
- Attention to detail
- Bilingual - English & French
- Ability to work independently as well as in a team
