ROCK Reach Out Centre for Kids is a non-for-profit agency designated as the child and youth mental health Lead Agency for Halton since 2014. Reporting into the Manager, Quality Improvement, the QI & PM Specialist will work closely with a wide variety of stakeholders including, leadership, teams and relevant partners, to support the implementation of initiatives, programs and services and the identification of opportunities for improvement, optimization and overall performance. The QI & PM Specialist will be able to quickly understand complex systems; taking a leading role improving processes in identifying, designing and facilitating team-specific and cross functional quality improvement initiatives focused on enhancing organizational efficiency, effectiveness and capacity and improving the overall quality of the client experience at ROCK.
**Quality Improvement**
- Work closely with leadership and teams to optimize program and service delivery as well as internal business processes leading up to efficiencies and improved client experience.
- Perform functional analysis and design, defining and documenting detailed business requirements
- Facilitate and support teams with continuous improvement of existing processes through PDSA - rapid improvement cycles and other QI methodologies to enable achievement of business results and client satisfaction.
- Conduct workflow analysis including time studies and value add analysis to support the development of standard work within programs and services
- Utilize appropriate tools (Excel, database) to analyze the results of analysis to identify top opportunity areas, identify process improvements and develop specific actionable plans.
- Engage with, facilitate and assist teams and leadership in investigating root cause analysis and problem solving.
- Develop proposals for change and communicate how proposed changes it will benefit the organization.
- Support programs and services to plan, design and implement new or changes to processes, programs and services.
- Support stakeholders in determining program/business needs, and propose solutions based on goals and strategic objectives
- Manage the day-to-day tactical aspects of small to medium scale projects including priority and goal setting, execution and follow up of tasks, documentation, meeting schedule, etc.
- Assist in providing training on quality improvement methodology
- Assist in preparing cost-benefit analyses to aid in the decision-making process for program and services implementation and in creating solutions that optimize client flow and experience
- Operationalize client safety through adhering to established policies and guidelines that ensure consistency in the delivery of quality and safe care and, by identifying and reporting any client safety incidents.
- Establish, maintain and strengthen internal stakeholder relationships.
- Prepare written materials to communicate concepts, plans and results to various audiences.
- Participate actively on ROCK’s Quality Improvement and Client Safety Committee
**Project Management**
- Identify and initiate project requirements gathering and ensuring projects are completed on time and within budget
- Implement and execute project plans by ensuring all aspects of projects run smoothly and efficiently, develop accurate timelines, track completion of tasks, track budget/expenses and oversee progress of the project/program
- Effectively manage issues and risks by anticipating threats and maximizing opportunities within the project
- Providing project leadership on small to mid-size improvement initiatives utilizing extensive knowledge and experience in Quality Improvement methodologies
- Ensure compliance with the specific requirements of Section 28 of the Occupational Health and Safety Act, as well as any further health and safety responsibilities outlined in the agency’s policy and procedure documents.
- Other duties as may be reasonably assigned
EDUCATION:
- Post-secondary degree in a relevant specialized discipline, or an equivalent combination of education and experience
- Designation and/or formal training in combination with experience in Lean Six Sigma Process Improvement Methodology
- Formal training and/or certifications in Project Management is an asset
EXPERIENCE
- Previous experience in non-for-profit and community services
- 2+ years of Process Mapping
- Relevant experience with data analytics, reporting, process optimization and operational management
- Advanced ability to deliver presentations to executive level leaders
- Advanced Microsoft Suite skills (PowerPoint, Excel, Word, Project, Visio)
