**Position Summary -**WISE CS Administrative Assistant

The WISE CS Administrative Assistant is an active member of the WISE Charter School. The Administrative Assistant is a key member of the WISE CS administrative team and is responsible for the effective management of administrative and operational duties to support the daily life of the WISE Charter School and Society.

**Qualifications**:
The WISE CS Administrative Assistant is required to have:

- Outstanding organizational skills.
- Excellent communication and interpersonal skills; approachable for students, parents and colleagues.
- Strong conflict resolution skills.
- Effective computer skills with knowledge of word processing, Google Drive and FileMakerPro.
- Some knowledge of Waldorf philosophy and pedagogy, or willingness to learn and incorporate within employment role.
- Willingness and proven ability to work within a community environment.
- A clear criminal record check, including a vulnerable sector search.

**Hours and Length of Year**:
The WISE CS Administrative assistant is present during school weeks of operation to fulfill duties. This position follows the WISE Charter School calendar including PD and Teacher conference days from the second week in August to the second week of July. Limited hours are required after the first week of July to the second week of August. The administrative assistant is an hourly employee with up to 35 hours/ week with monthly payments, less deductions.

**Responsibilities**:
Administrative assistant
- Collect, document and send mail as required.
- Find substitute teachers/assistants when needed.
- Order and maintain office supplies for school and coordinating teacher and custodian supply orders.
- Maintaining relationships with suppliers and vendors.
- Triages maintenance needs arising to maintenance coordinator volunteer, site maintenance and custodian.
- Maintains the WISE Charter School Calendar including class field trips and school events.
- Provides administrative assistance to the Superintendent, Secretary Treasurer, Executive administrator, Principal, Financial Officer, Administrative Coordinator, Registrar, Fundraising Coordinator, WISE CS staff, and WISE CS board.
- Communicates updates to facebook, Instagram and WISE CS website.
- Support teacher training with creating Training Agreements, coordinating travel and registrations, as needed
- Space rental agreement/ bookings.

**Relationship with WISE CS**:

- The administrative assistant is responsible for implementing the policies and procedures developed by the WISE CS board and WISE CS administrative team in relation to the job description.
- Works closely with the WISE CS Registrar, Executive Administrator, Administrative Coordinator, & Financial Officer, as well as the Staff and WISE CS Board to support the effective operation of the WISE Charter School.
- Participate in visioning and planning for the development and growth of the WISE CS, including our (3) annual WISE Charter Society/WISE Charter School meetings, Aug/Jan/Jun.
- Provides input and feedback on day-to-day operations, identifying improvements and efficiencies in the running of the WISE Charter School.
- Professional Development (PD) and Meetings

Staff are expected to attend, and participate in:

- PD at the WISE CS
- August PD
- May Edmonton Gateways conference
- Designated school PD days
- Monthly All-staff meetings

The WISE CS Administrative Assistant is guided by the philosophy and procedures outlined in WISE CS Employee Handbook and by the Codes of Conduct and Discipline Policy. The WISE CS Administrative Assistant is accountable to the WISE CS Superintendent and Board of Directors.

**Salary and Benefits**:
The WISE CS Administrative Assistant is an hourly employee. The WISE CS Administrative Assistant is eligible for WISE CS’s employee benefits program.
