Sous la direction de la directrice des programmes et de l'élaboration des programmes d'études de français langue seconde, vous assurerez l'offre de services de soutien administratif et de gestion de bureau à la division. Vous devez être débrouillarde, organisée, attentive aux détails et capable de bien communiquer quand le personnel du ministère, les partenaires du système éducatif et le grand public vous adressent des demandes.

Vous aurez pour responsabilité de préparer les versions provisoires de la correspondance qui doit être signée par la directrice (quand cela est approprié), de coordonner les arrangements pour les réunions et les rendez-vous de la directrice, d'offrir des services de secrétariat aux comités qui relèvent des responsabilités de la division, de créer et tenir à jour des bases de données, de coordonner l'achat de ressources, de concevoir et produire des rapports et des documents de présentation, de gérer des systèmes de dossiers sous forme imprimée et électronique, d'assurer le tri et le classement par ordre de priorité du courrier adressé à la division et de fournir des documents d'appoint si nécessaire.

Pour être retenu(e), vous devez avoir un cours d'une année en secrétariat ou en gestion de bureau, ainsi qu'au moins quatre années d'expérience en secrétariat ou en soutien administratif. On pourra accepter une combinaison équivalente de formation et d'expérience.

About Our Opportunity

The Administrative Assistant (Secretary 3) provides independent complex executive level administrative support to the Executive Director through the effective management, coordination, and efficient operation of the office. By having a comprehensive knowledge of the department's administration, government processes, and operations this position acts as a primary contact for the Executive Director and acts as the liaison for staff, other government departments (federal. provincial, territorial, and municipal), as well as external stakeholders in a highly confidential environment.

Under the direction of the Executive Director of French Programs and Services, you will provide administrative support and office management for the Branch. You must be resourceful, organized, detail oriented and can communicate effectively when dealing with inquiries from department staff, education partners, and the public.

Primary Accountabilities

You ensure the daily operational management of the office of the Executive Director and Division by serving as a resource for the Executive Director and others.

You will compose/prepare correspondence on behalf of the Executive Directors signature. Assess and assign priority to Executive Director's mail and e-mail, redirecting and/or answering as appropriate. Identify urgent items for the attention of the Executive Director or others. Develop & prepare professional presentations and reports on behalf of the Executive Director. Update information for the EECD Website, Business Plan and Accountability Framework.

You manage, coordinate, and control the Executive Director's electronic calendar using sound judgment and strong negotiation skills. Coordinate/arrange meetings assuming responsibility for all logistics which requires excellent planning, negotiation, and organizational skills. Prepare agendas, accurate minutes/notes ensuring executive decisions are recorded responsibly and in a timely fashion.

In addition, you manage/Coordinate the Division's budget, with approved budget signing authority and/or authorization, establishes the budget, monitor, and adjust forecast documents, order and receive goods and processes invoices for payment. Organize travel and accommodation requirements. Prepare itineraries, confirm, and finalize transportation and hotel reservations as well as financial arrangements.

Mentors and trains new administration staff and distributes work to other administrative staff in the division when appropriate.

Qualifications and experience

To be successful in this role, you will possess a one year secretarial/administrative assistant course, plus a minimum of four years of administrative support/secretarial experience. An equivalent combination of education and experience may be acceptable.

You will also possess the following:

  • Excellent command of spoken and written French with strong competencies in English.
  • Initiative and good judgement in planning work according to priorities and deadlines.
  • Proven skills in prioritizing responsibilities, establishing effective working relationships, and efficiently handling matters with discretion, confidentiality, tact, and diplomacy.
  • Excellent organizational and time management skills.
  • High quality grammar, proofreading, editing, and secretarial skills.
  • Proficiency in MSWord, PowerPoint, Excel, Outlook and web-based sharing software such as Moodle and Google docs.
  • Proven qualities of a team player.


Experience in office coordination and budget management will be considered an asset.
