Job SummaryThis position within the International Student Initiative (ISI) is integral to the achievement ofthe University’s international undergraduate enrolment goals. With direction, this position willplan, coordinate and implement a variety of effective and innovative on-campus recruiting andprospective student advising services, and programs for international students, their parentsand counselors visiting UBC’s Okanagan campus, liaising closely in this regard with the CampusTour Program managed by the International Student Initiative on the Vancouver campus and byStudent Recruitment and Advising (SRA) on the Okanagan campus. Regularly givespresentations and undertakes group and one-on-one advising to this effect.Provides effective recruiting and advising services to international students and Canadianstudents schooled outside of Canada, as well as international students schooled withinCanadian colleges and high schools, in support of the International Student Initiative’senterprise-wide mandate to meet the Faculties’ international enrolment targets inundergraduate programs as well as in select other programs that have been identified asstrategic initiatives for the University.Organizational StatusReports to the Manager, International Recruitment, UBC Okanagan on a strategic andoperational basis. Works closely and collaboratively with other ISI staff and in particular therecruiting teams on both the Vancouver and Okanagan campuses; Student Recruitment &Advising (domestic) staff; Staff in the Recruitment Marketing and Prospective StudentEngagement; other units in Enrolment Services, particularly International Admissions, Staffwithin the Global Engagement Office, Faculties and liaises closely with the Campus TourProgram managed by the International Student Initiative on the Vancouver campus and byStudent Recruitment and Advising (SRA) on the Okanagan campus. This position supervisesstudent staff, works collaboratively with fellow International Student Recruiter Advisors andprovides supervision to volunteers and student staff on a number of projects and events.Work PerformedCampus Recruitment ProgrammingDevelops and supports campus-based and virtual programs to encourage more prospectiveinternational students, their parents and counselors to visit the UBC campuses, and UBC’sOkanagan campus in particular. Examples may include but are not limited to customizedcampus tours, UBC sponsored trips for international student groups and/or counselors,recruitment competitions, etc.• Supports innovative, responsive and professional Campus Recruitment programs thatmeet the needs of prospective international students, their families, counsellors,Educational Agents/Third Party Recriutment Agencies and other visitors to theOkanagan campus. Campus Recruitment efforts physically take place on the Okanagancampus and as well as virtually to a global audience.• Coordinates the design and delivery of special purpose tours and Campus Recruitmentprograms for targeted groups of prospective international students and their families,international guidance counsellors, and others working with international students.• Under the direction of the Manager, works with the Student Recruitment and Advising(SRA) team in regards to the Okanagan Campus Tour program. In this capacity, workscollaboratively with the Manager, Campus Tours (SRA), on campus tour scheduling,student hiring and training, and campus tour program development.• Assist the Manager in developing an annual budget for Campus Recruitmentprogramming. Under the direction of the Manager, tracks and reconciles expensesassociated with campus events and reports variances to the Manager.• Supports the planning, organizing and conducting of special events such as ApplicantInformation Sessions, International Peer Outreach or other types of yield tactics oncampus or virtually, targeting newly-admitted international students.• Liaises closely with SRA on joint events where there is likely to be a critical mass ofinternational students participating in the event.• Recruits, selects, trains and schedules a corps of dedicated student staff and volunteersto support Campus Recruitment activities that highlight the international studentexperience. Adheres to principles of student engagement and nurtures studentleadership opportunities with volunteer or paid programs.• Collects and maintains data on the origin of on-campus event participants, tracking andassessing patterns of participation, designing and delivering other assessment tools tosolicit feedback from event participants to determine levels of satisfaction and overalleffectiveness of program in meeting recruitment goals; writes reports and makesrecommendations for changes and improvements to the ISI UBCO leadership team.• Must be able to work evenings and weekends in execution of campus tours and campusrecruitment programs as well as the training of student employees when needed.• Works closely with the Recruitment Marketing and Prospective Student Engagementteam and Student Recruitment and Advising (domestic recruitment) to collaborate onthe develop an innovative multi-media presentation for use in the campus tourprograms. Works with ISI Okanagan team and ISI Vancouver On Campus Team todevelop web-based virtual campus events for prospective students in the US or overseas, and other communication products to promote campus tours and campusrecruitment activities. Performs recruiting and advising services by:• Provides international students with a preliminary evaluation of their admissibility totheir choice of program and conducts follow-up as appropriate.• Participates in the planning and provision of transition support services for newlyadmitted international students, including providing students with registration supportand advising on course selection, housing applications, and other matters pertaining totheir transition to UBC Okanagan. Liaises with the Central Academic Advising Office,Global Engagement Office, and with the Student Experience Office in providing thistransitional support.• Provides information on housing and other student services available to internationalstudents at UBC.• Prepares and delivers effective presentations to groups large and small, proficientlyusing multi-media materials and other collateral to support public presentations.• Plans and delivers effective group advising sessions in a variety of settings.Recruitment and Advising Services• Prepares and delivers effective presentations to groups large and small, proficientlyusing multi-media materials and other collateral to support public presentations. Plansand delivers effective group advising sessions in a variety of settings, focusing onstudying at UBC in particular but may also present more generally about studying inCanada.• Advises prospective international students, school counselors, and others on currentacademic program opportunities at the University, on admission requirements,prerequisite studies required for certain programs, English language proficiencyrequirements, international student tuition fees, and refers to dedicataed UBC staff whoadvise on Canadian study permit requirements. Provides information on housing andother student services available to international students at UBC. Advising takes placepredominately on campus with individual students and their parents visiting the UBCcampus. Advising also takes place through telephone, electronic mail and web-basedcorrespondence with students, their families and counselors. Exercises cross-culturalsensitivity and intercultural skills when advising prospective students with differentlinguistic and cultural backgrounds.• Applies in-depth knowledge and understanding of complex requirements andadmissions policies, as well as knowledge of foreign credentials, internationaldocumentation and different countries’ educational systems, in respondingappropriately to inquiries. Provides students seeking admission to the University withpreliminary advice on the likely admissibility or non-admissibility to their choice ofprogram, based on the student’s current level of schooling and course work. Dealingwith the latter requires tact, cultural sensitivity and discretion, and includes offeringstudents who do not currently meet UBC admission criteria advice on what they can do to prepare themselves academically for future admission to the University. Conductsfollow-up on prospective international students as appropriate.• Conducts a preliminary assessment of an applicants’ English language proficiency on thebasis of the applicants’ background and advises applicants on all of the acceptable waysto demonstrate their English language proficiency for admission to UBC. Requiresknowledge of international English language proficiency tests and the minimum testscores acceptable to UBC.• Participates in the planning and provision of pre-arrival, on-arrival and other transitionsupport services for newly admitted international students, including housingapplications, and other matters pertaining to their transition to UBC. Liaises with thefaculties and with advisors within units of AVP Students in providing this transitionalsupport.• Provides input and feedback to the Recruitment Marketing and Prospective StudentEngagement (RMPSE) team in the development of promotional print and multimediamaterials used for recruitment and advising purposes, and engages students in varioussocial media platforms with direction from the RMPSE team.• Participates in interactive on-line sessions and other types of virtual meetings withprospective students, applicants and newly admitted students to encourage theirinterest in UBC.• May conduct visits to international secondary schools and colleges, to meet withcounselors and advise prospective undergraduate students. May involve meeting withprospective visiting students or students intending to transfer to UBC from other post-secondary institutions. Conducts international recruiting and advising activities in awell-organized and professional manner. Exercises initiative, diplomacy, tact,resourcefulness and sound judgment when representing the University, particularly insettings that are distant from UBC.• Works proficiently with the Student Information System, the Client RelationshipManagement system and other data management systems to obtain information on thestatus of a student’s inquiry or application for advising purposes.• May participate in the hiring, training and supervision of student staff, clerical supportstaff, and of associate recruiter/advisors (entry level positions). May assist in thetraining of other new International Student Recruiter/Advisors who join the regionalteam.• Undertakes other recruitment, advising and program development activities asrequired, in keeping with the terms of the position. May represent the unit on cross-unitprojects or on other University committees as assigned.• Adheres to UBC’s policies, particularly UBC’s Travel Policy, and policies on safeguardingsecurity of data and electronic devices; adheres to Freedom of Information and Privacypolicies with regard to student advising. Exercises sound judgment and followsdepartmental protocols for travel safety and communication with the home office whenabroad, and stewards the University’s property and resources responsibly in carryingout recruitment and advising services when at home and on overseas assignments.As an ISI team memberModels commitment, a valuing of diversity, respect for others and the work;Carries out all work duties in an exceedingly professional and ambassadorial manner;Contributes to a culture that supports innovation, and that identifies new programs and initiatives that will move the university forward towards achieving its international enrolment goals.Contributes to a team culture that supports integration and collaboration across all of ISI’s functional teams;Contributes to a team environment that celebrates diversity, champions equity, builds on strengths found in differences and seeks personal growth in these areas.Consequence of Error/JudgementThis position is responsible for providing effective recruitment services and delivering accurateinformation about degree programs and admission to the University’s undergraduate faculties.The dissemination of inaccurate information, exercise of poor judgment, without due tact andsensitivity would result in the loss of confidence in UBC by the student, the student’s parentsand school counselors and could jeopardize the school’s relationship with UBC. Poorperformance in carrying out recruitment and advising services would damage the University’sreputation abroad and at home. Advising overseas students, counselors, and others incorrectlycould have serious and costly consequences for the prospective student. Inability to plan andcarry out costly activities in a well-organized and professional manner could result in lostopportunities and cost overruns. Poor performance would reflect negatively not only on the ISI,but on the University as a whole and would deter international students from choosing UBCthus jeopardizing the University’s ability to meet its international student enrolment objectives.Supervision ReceivedWorks independently without direct supervision but within established guidelines, in closeconsultation with the Manager, International Recruitment, UBC Okanagan. Works closely andcooperatively with the other recruiter/advisors assigned to the team, as well as with other staffin the ISI, SRA and Enrolment Services and within the University to meet the goals andobjectives of the International Student Initiative. Position is subject to annual performancereviews.Supervision GivenParticipates in the hiring, training and supervision of student, clerical and event staff. May assistin the training of other new Associate International Student Recruiter/Advisors who join theteam.Minimum Qualifications Undergraduate degree in a relevant discipline.
