JLL is currently seeking a service-oriented professional for the role of Office Services Concierge based in Cambridge, ON. This position serves as the welcoming face of our organization while managing essential operational functions including reception, event coordination, supply management, mail processing, and facility maintenance to keep our workplace running efficiently. The ideal candidate possesses excellent communication skills, thrives in a dynamic environment, and maintains meticulous attention to detail while handling multiple priorities with professionalism and discretion.WHAT YOU'LL DOAssist with reception duties including greeting visitors, accepting deliveries, answering/redirecting general inquiries (in person, telephone, email), utilizing discretion to screen visitors and calls, and notifying appropriate personnel.Plan, coordinate, setup, and clean-up various events including training sessions, team events, organizational town halls, and meetings.Maintain office supplies, arrange necessary maintenance, place supply orders, monitor inventory levels, and source/obtain pricing information for office supplies and equipment.Open and distribute incoming mail and faxes, prepare outgoing mail, faxes, and courier shipments, and manage mailroom operations.Collect, verify and input data into spreadsheets/databases, format/edit/proofread documents, maintain electronic and hard copy filing systems, and classify/sort/file correspondence and records.Update and maintain confidential files/records and handle sensitive material according to established policies.Assemble, copy, collate, and disseminate various documents and materials as needed.Oversee maintenance of office facilities, coordinate with vendors/service providers, conduct regular inspections, manage office furniture/equipment setup, ensure compliance with health/safety regulations, assist with space planning, and respond to facility emergencies.Support implementation of sustainability initiatives, maintain records of maintenance activities and service requests, and ensure compliance with company policies.Proactively develop/maintain client relationships, comply with all client contract requirements, meet or exceed Key Performance Indicators, and deliver exceptional service quality as measured by client feedback.WHAT YOU BRINGPost-secondary education is an asset.2+ years of relevant experience or a combination of education and experience.Experience in the real estate or facility management sector is an asset.Business/Office Administration related program is an asset.Demonstrated proficiency with all applicable software packages, including MS Windows and MS Office (Word, Excel, Outlook, PowerPoint).Ability to travel to Toronto, ON when neededWHAT'S IN IT FOR YOUJoin an industry leader and shape the future of commercial real estate Deep investment in cutting-edge technology to power your work Comprehensive and competitive benefits plan A supportive, caring and diverse work environment designed for your growth and well-being Location: On-site –Cambridge, ONIf this job description resonates with you, we encourage you to apply even if you don’t meet all of the requirements.
