Role Overview  Hancon Mining is hiring a reliable and detail-oriented Accounting and Payroll Clerk to support payroll preparation and core accounting functions for its Canadian and U.S. operations.  This role is responsible for preparing accurate payroll, maintaining payroll and accounting functions, supporting accounts payable, and completing monthly reconciliations. The position works with Sage accounting software and prepares payroll using ADP or SurePay depending on the operating country. You will also help improve how timesheets are collected and reviewed so payroll decisions are clear, consistent, and efficient.  This is not a data entry role. The successful candidate will identify issues, ask questions, and help improve payroll, timesheet and accounting processes.   This position is a full-time, fully in-office in Porcupine. You will work closely with management, operations, and HR.    Key Responsibilities  Payroll Preparation – Canada and United States   Prepare full payroll cycles for Canadian and U.S. employees using ADP and SurePay  Compile, verify, and reconcile payroll inputs prior to submission for approval  Review crew timesheets, rotation schedules overtime and site-based approvals   Accurately calculate wages, overtime, statutory holiday pay, vacation, sick time and deductions by jurisdiction   Process payroll changes including new hires, terminations, rate changes and payroll adjustments  Prepare payroll reports and pay statements for review and distribution   Respond to payroll inquiries and resolve discrepancies in a timely manner  Ensure payroll preparation complies with federal, provincial and state payroll legislation and remittance requirements   Maintain payroll records, reconciliations and supporting documentation   Prepare payroll for approval but do not approve payroll runs or payments     Accounting and Financial Support  Record approved payroll and benefits entries in Sage   Prepare and post journal entries related to payroll, benefits, accruals and adjustments   Maintain and reconcile payroll accounts   Perform monthly balance sheet and payroll-related reconciliations   Reconcile bank accounts and investigate and resolve variances  Assist with month-end and year-end close activities   Prepare payroll remittances including CPP, EI, income tax, WSIB, and U.S. equivalents  Assist with benefit deductions, tracking, and reporting    Accounts Payable Support  Enter vendor and subcontractor invoices into the accounting system  Verify invoices for accuracy, completeness and proper authorization   Match invoices to supporting documentation where required   Prepare approved invoices for payment processing  Maintain organized AP files and audit-ready documentation   Support compliance with payment timelines  Timesheets and Process Improvement  Support and improve the collection, review and approval of site-based timesheets   Work with management and site teams to create clear standards for time entry  Identify recurring errors, inconsistencies or missing approvals  Flag issues requiring clarification prior to payroll preparation   Track payroll cut-offs and follow up to ensure timely submissions  Recommend practical improvements that reduce rework and payroll delays  Ensure timesheets are complete and submitted on time    Operations and Coordination  Coordinate payroll schedules, cut-offs, and approval timelines with management  Support onboarding and offboarding from a payroll perspective  Maintain confidentiality of employee compensation and personal information   Communicate payroll and accounting deadlines and requirements clearly to office and site teams    Systems, SOPs, and Process Control  Follow payroll and accounting procedures and internal controls  Support consistent use of Sage, payroll systems and standardized templates  Organize payroll files using established file naming conventions and folder structures  Flag discrepancies, control gaps, or compliance concerns early  Contribute to continuous improvements in payroll and accounting processes    Required Skills and Qualifications  Technical and Accounting Skills  Certificate, diploma or formal training in accounting, payroll or finance  Experience working with Sage accounting software  Hands-on experience with ADP and/or SurePay  Strong working knowledge of Microsoft 365 including Excel, Word, and Outlook  Experience preparing payroll reconciliations and journal entries   Experience with general ledger maintenance and month-end processes  Understanding of Canadian and U.S. payroll requirements  High attention to detail and accuracy    Professional Skills  Trustworthy and discreet with confidential information  Organized, reliable and consistent with follow-through  Strong communication skills  Comfortable working independently in an operations-driven environment  Ability to stay organised and focused when balancing overlapping payroll, reporting and closing timelines     Work Environment and Expectations  This role supports a mining and construction business with operations in Canada and the United States. Payroll accuracy and timing are critical to workforce trust and operational continuity.
