Job Description As an integral member reporting to the Senior Project Manager, Project Coordinator, Redevelopment plays a key role in supporting major upcoming redevelopment projects and managing and optimizing the physical environment across Mackenzie Health’s facilities. This position supports long-term capital planning activities such as the upcoming Master Plan/Master Programming work the organization is undertaking to build on its recent achievement of opening the Cortellucci Vaughan Hospital. The core focus of this role is the coordination and management of day-to-day tasks associated with major redevelopment projects, such as maintaining accurate records of and line of sight to decisions, documentation, and processes to ensure internal and external stakeholders remain aligned, focused, and organized throughout complex planning cycles. Additional responsibilities include the administration of the hospital's space management systems and structures, ensuring that current and future space allocations are well-informed, efficient, and aligned with clinical and operational needs.This is a unique opportunity for a detail-oriented, analytical, and tech-savvy professional who is passionate about healthcare, effective space utilization, and building for the future.Primary Responsibilities: Assist in developing materials and documentation for Ministry submissions, internal leadership reports, and user group meetings.Participate in and support project meetings, including preparing agendas, taking minutes, and tracking action items.Coordinate and track deliverables across multiple consultant teams (., architects, engineers, planners) to ensure timelines, submission requirements, and interdependencies are met, escalating issues or delays to the Senior Project Manager as needed.Support the execution of planning activities by synthesizing information from consultant reports, tracking progress against project milestones, and preparing consolidated documentation and summaries to inform decision-making by leadership and user groups.Conduct space assessments and background studies to validate expansion needs and support space reallocation and planning decisions.Maintain and implement a space management software tool, ensuring space data is current, accurate, and aligned with hospital operational needs.Maintain an updated directory of room and space assignments across all Mackenzie Health sites, including clinical, administrative, and support service areas.Coordinate and conduct space audits to evaluate utilization and identify opportunities for improved efficiency.Prepare summary reports, dashboards, and presentations related to space use, occupancy, and change planning.Work with stakeholders (clinical, administrative, facilities) to assess needs and communicate space changes and impacts.Support SAFES (Space Aesthetics Furniture Equipment & Signage) group activities by gathering information, proposing viable solutions, and ensuring compliance with standards.Support the Organization’s Corporate Capital Planning process by developing, refining and maintaining asset tracking and other key input tools that inform the annual planning cycle.What must you have?Post-secondary education in Healthcare, Urban Planning, Architecture, Engineering, or related field.Knowledge of relevant codes and guidelines such as CSA Z8000, AODA, and the Ontario Building Code.PMP or CAPM certification (or in progress).What else do you bring?Minimum of 2 years of experience in planning, project coordination, or space management role—preferably in healthcare or similar environments; equivalent combination of post-secondary.Strong data management and organizational skills with a high level of attention to detail.Excellent communication and interpersonal skills with the ability to work across diverse teams.Proficiency in Microsoft Office Suite (especially Excel and PowerPoint); ability to quickly learn and manage space management tools.Analytical mindset and ability to interpret and present complex space and utilization data.Ability to manage multiple priorities and work independently in a fast-paced environment.Experience with space management software (., AutoCAD, Revu, or similar platforms).Familiarity with healthcare space planning standards and the Ministry of Health Capital Planning process.Proven attendance record.Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.Ability to perform the essential duties of the job.Effectively uses empathy in interactions with others.Demonstrates behaviours consistent with Mackenzie Health’s Commitment to Caring.Models behaviour that is aligned with the values of Mackenzie Health – Excellence, Leadership and Empathy.Commitment to providing an exceptional experience for staff and clients within a challenging and exciting health care environment.*You may be required to work at any site of Mackenzie Health. --- Mackenzie Health is an inclusive and equal opportunity employer committed to providing accommodations for applicants upon request at any stage of the recruitment process in accordance with the Accessibility for Ontarians with Disabilities Act (AODA) and the Ontario Human Rights Code.Our hiring process does not involve the use of artificial intelligence (AI) to screen, assess or select applicants.
