The Opportunity

Provides high-quality administrative, secretarial, and organizational support to the Transition to Adult Care team. Responsibilities include, but are not limited to:

• Transcribing reports and project documents, design of documents/posters/presentations, and distribution as appropriate.

• Coordination/booking of committee meetings with internal and external partners for both in person and virtual platforms, including all required equipment and material support.

• Creation and coordination of learning events for in person and virtual platforms, including registration, material distribution and virtual platform support.

• Answering/referring phone calls, and relaying messages with follow-up, as appropriate.

• Attending committee meetings, and taking/distributing minutes/documents, as required.

• Managing computer files.

Hours of Work

Monday to Friday; 7 hours per week
 

Your Qualifications


• Graduate of a recognized Secretarial or Office Administration Diploma Program required.

• Minimum six (6) months related secretarial experience required, one (1) year preferred.

• An equivalent combination of education and experience may be considered.

• Minimum 60 wpm keyboard skills required.

• Experience with minute-taking required.

• Advanced working knowledge of computer applications, including Windows, Outlook, word processing, spreadsheet/database, PowerPoint, and design programs required. 

• Experience with the use of virtual meeting technology is required.

• Competent in the use of various office equipment required.

• Excellent planning, organizational, prioritization, and time management skills required.

• Self-motivated with the ability to work with minimal supervision required.

• Demonstrated excellence in communication (both verbal and written) and interpersonal skills required.

• High regard for quality and attention to detail required.

• Experience with IWK Intranet (PULSE), Meditech, and SAP preferred.

• Medical terminology knowledge preferred.

• Competency in other languages is considered an asset.
