JOB PURPOSE:The Employee Services Representative is responsible for being the first point of contact for employees and for visitors, answering phones, maintaining the visitor management system, scheduling tours, reporting as well as other office duties. Hours of work are from 11:30AM – 8:00PM.First point of contact for CMP employeesCreates employment confirmation lettersPosting/removal of daily/weekly HR board information around plant. Also ensure form boards are refilled throughout the weekDaily Attendance calls, system entry and employee coding.Manages / Tracks recognition program; thank you's / On the Spot NominationsGreet, screen and directs all visitorsEnsures all visitors/contractors are signed in and issued security tagsAnswers phones and directs calls in a professional mannerMaintains and updates the phone system and voicemail system as requiredOrders and maintains office suppliesSorts and delivers mailParticipates in and assists in coordinating employee social eventsMaintains access card system and manages any issues related to thisCreates and distributes weekly newsletterMaintains TV Communication system and ensures materials posted are up to date and appropriateSchedules tours for employment candidates as well as for pre-employment testingMaintains company Organization ChartsEnters new employee informationManage employee birthday cards monthlyProcess employee parking passesDetermine employee eligibility for workplace materials such as safety glasses and safety bootsData management for various initiative: On The Spot Nomination, Birthday Voucher redemptions, boot voucher, etcProcess employee anniversary certificates and anniversary gift informationProvide support on various HR projects and initiativesOrganizing and filing of employee paperworkOther duties as assignedPersonal DevelopmentAttend company required trainingRemain current with technical knowledge in areas of responsibilityAttend regular 1:1 coaching/update sessionsQUALIFICATIONS:Successful completion of Office Administration program or HR certificate or equivalent combination of education, training and work experienceAbove average communication skills, both oral and writtenA demonstrated high degree of professionalism and diplomacy when dealing with internal/external customersGood working knowledge of Microsoft Word, Excel, PowerPointA passion for peopleHigh respect for confidentialitySuperior time management and organizational skills with keen attention to detailExcellent interpersonal skillsAbility to work under pressure and meet deadlinesAbility to work from directives with little supervision in a team environment.WORKING CONDITIONSWorking with challenging requests/visitors/callsPHYSICAL REQUIREMENTSN/AKEY COMPETENCIESAccountability and InitiativeTakes initiative and demonstrates a "do whatever it takes" work ethic to get the job doneConsistently delivers on personal targetsService ExcellenceDisplays personal ownership and a sense of urgency over any issues or complaints that arise from the customer experienceMaintain an outstanding customer experience despite time pressures or obstaclesCommunicating with ClarityCommunicates in a manner that is straightforward and easy to understandAnswers questions in a professional mannerKEY PERFORMANCE INDICATORSResponse time to requestsNewsletter issuanceNo Customer ComplaintsAttendance Calls – daily and 48 hour follow up calls completed Reason for vacancy: existing positionAI disclosure: At this time, we do not use Artificial Intelligence (AI) in our hiring process. Conestoga Meats welcomes and encourages applications from people with disabilities.
