Reporting to the Manager, Financial Assistance, the Bursary Support Officer works in collaboration with Accessible Learning Services (ALS), Financial Assistance Advisors (FA), equipment vendors, service providers, and students to administer the Canada Student Grant for Services and Equipment for Persons with Disabilities (CSG-PDSE), and the Ontario Bursary for Students with Disabilities (BSWD). What you’ll be doing: Full Administration of CSG-PDSE and BSWD Funding ApplicationsMaintaining Excel tracker and utilizing the institution and Ministry systems to facilitate the bursary process and generate relevant reports.Providing updates and support to ALS and FA staff on current bursary timelines and processes.Provides a variety of administrative work to support the tracking of BSWDs, coordination of receipts, and signature and application completion compliance.Monitors BSWD budgets on a regular basis to ensure funding is in alignment with annual allotment and notifies the Manager, Financial Assistance if/when limited budget remains.Ensures disability funding is accurately reflected (disbursements, receipts, and repayments) in the Ministry's One Key System.Supports the ALS and FA offices with Disability Verification Form tracking, transfers.Create and issue 30/60/90 day reminders to students who are past due in repayment.Initiate Collections efforts for fund recovery as needed.Review and administer BSWD applications while adhering to College and Ministry policy. All eligibility criteria are vetted and confirmed before an outcome can be made.Disburses approved funds and issues refunds to students in collaboration with the Accounting department.Confirm rationale and supporting documentation from ALS for exceptional services or equipment requested/funded, and upload this information to the student’s OSAP file.Ensuring files with supporting documentation for each student are maintained in a secure location on the server, taking into consideration the guidelines around confidentiality and disclosure of information set out by the Ontario Human Rights Commission, “Guidelines on Accessible Education”. The ministry may request this information for inspection/auditing purpose.Consulting with the ministry in the event that the student requires specialized equipment or services outside those described in policy. Reporting and ReconciliationsUpdate and maintain accurate student data of all applicants and status for the purpose of organizing data and Ministry reporting.Provide statistical reports as requested, including the number of applications received, funding distributed, and criteria used to distribute funds.Assist with MCU reporting and alternate reporting requirements as needed.Confirm and reconcile all distributions of funding quarterly utilizing the college’s financial system, Fast Suite, and Cognos.Complete quarterly reconciliations between the funding distribution and the general ledger.Confirm all student disbursements in Banner match the Banner Student Aid (BSA) record and make corrections as required.Review files for completion and upload all completed files to the Image Portal in accordance with Ministry policy. Process/System Enhancements and User SupportDevelops and maintains supporting documentation and departmental process guides.Proactively evaluating business processes and ongoing system opportunities to determine efficiencies.Assisting in the semi-annual review of departmental systems/processes and data analysis to identify areas for improvement (, refund process, application process, disbursement of funds, etc.).Communicates feedback and recommendations to the Manager, Financial Assistance for review and implementation.Investigating problems and creating innovative electronic solutions. Other DutiesAssists with basic backup during peak periods and vacation coverage when the Financial Assistance Coaches and/or Advisors are absent ( answering emails/phone calls, assisting with problem-solving for urgent items, various admin tasks.)Supports projects and events as needed ( for Convocation, Open House and special events, student support during start-up and peak periods, special projects, etc.) Other duties as assigned. What you’ll bring to the role:3-year post-secondary education in General Business, Business Accounting, Office Administration or related field.Minimum 3 years of experience in business or office management, preferably in an educational institution.Experience with scholarships and financial assistance is an asset.Ability to work both independently and collaboratively with students, faculty, staff, and community.Strong accounting skills and proficiency with Excel and computer technology.Proven ability to multi-task and meet deadlines in a high-volume, fast-paced environment.Excellent organizational, time management, interpersonal, customer service, problem-solving, and communication skills.Experience working with software applications, databases, and integrated information systems like Banner, Microsoft Office, and Access.Experience with project management and Ministry systems (Students with Disabilities Database, Bursary Reporting System, OSAP System) is required at the point of hire.The incumbent must have proven technical skills with computer applications and high proficiency in MS software suite programs.Knowledge of post-secondary (Banner) and OSAP systems is preferred.Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.The ability to communicate and work effectively with diverse students, employees, and communities.
