POSITION TITLE:Executive ManagerPOSITION TYPE:AdministrationREPORTS TO:Executive DirectorPrimary Objective:The Westman Youth for Christ (WYFC) Executive Manager will manage the day-to-day activities of YFC, ensuring operational and financial aspects of the organization are kept to a high level of excellence while constantly looking for ways to improve systems and procedures. Responsible stewardship of the resources entrusted to WYFC is essential, as is proactive risk management to ensure a high level of function.Responsibilities:KEY MANAGEMENT RESPONSIBILITIES (78%)OFFICE MANAGEMENTEnsure the office is kept to a high standard of excellence and work with other staff to meet the needs of different ministries.Ensure proper supervision and accountability is in place for the Administration team.Meet regularly with the administration team to ensure work is completed to appropriate standards and provide support during high volume times.Oversee purchasing of office supplies and manage office contracts for equipment and utility services.Manage all aspects of room scheduling and facility rentals.Perform front desk duties when the receptionist is unavailable.HUMAN RESOURCESOversee all aspects of the Human Resources department, ensuring the YFC policy manual is enforced.Ensure all new hires are filling positions that have been approved by the Executive Director prior to recruitment.Coordinate onboarding of new hires, including software and hardware access.Maintain up-to-date insurance and health spending account information.Communicate with National Office regarding RRSP/TFSA information.Maintain current information in HR software and advise leadership on HR concerns.Oversee discipline and terminations.INFORMATION TECHNOLOGYManage the relationship with third-party IT consultants and ensure needs are met.Ensure proper backup of WYFC Server data.Ensure staff have the necessary computer equipment and that older equipment is phased out.Keep software/cloud programs up-to-date and ensure staff are knowledgeable about their use.FACILITIESEnsure WYFC facilities are maintained to a high standard.Supervise maintenance and cleaning staff.Conduct regular walk-through checks of facilities.Oversee purchase of general cleaning supplies.Monitor income and expenses related to facilities.Advise the Executive Director on facility concerns.SECURITYMaintain control of keys, FOB access, and security systems.Document assignment of keys, codes, and FOBs to staff.VEHICLESEnsure maintenance, cleaning, and safety inspections for the WYFC fleet of vehicles.Ensure proper insurance coverage for the fleet.ACCOUNTING/FINANCEReview operating expenses and keep the Executive Director informed of YFC’s financial status.Perform control checks in the accounting department.Work with the Financial Lead to implement new financial procedures.Ensure proper government reporting is completed.Learn the basics of the financial system to back up actions when financial staff are unavailable.DEVELOPMENTCollaborate with the Executive Director on organizational fundraising.Support major fundraising events and ensure financial aspects are properly managed.Ensure integrity in financial/operational information for grant proposals.SUPERVISIONOperate at an organizational leadership level and network with a wide range of staff.OTHERParticipate in weekly meetings and strategic planning as a member of the leadership team.Support the WYFC Staff community and assist ministry leaders with operations and planning.MEETINGS (12%)Meet with supervisor regularly.Attend WYFC team meetings.Meet with the Administration team regularly.Meet with individual team leaders as required.Meet with the Leadership team regularly.PARTNER DEVELOPMENT (5%)Develop personal and ministry area partnerships to secure financial and prayer support.Gather support from the community.Build a base of prayer partners and keep them updated.SPIRITUAL AND PERSONAL DEVELOPMENT (5%)Be an active member of a local church.Pray for and with the WYFC Team.Engage in spiritual reflection and development.Attend YFC Regional and National conferences.Participate in approved training and development courses.
