Position Overview The Executive Assistant to the General & Artistic Director plays a central and essential role in ensuring the smooth and effective functioning of Goh Ballet Canada. This position supports the Director across administration, marketing, communications, event coordination, and organizational operations. This role also includes significant responsibilities in marketing and communications—such as social media support, content creation, website coordination, and campaign management—offering a strong opportunity for candidates with creativity and strategic thinking. Executive & Administrative Support Proactively manage the Director’s demanding schedule, anticipating needs and adjusting priorities in real time. Act as a resourceful, fast-acting administrative partner, resolving scheduling conflicts and responding to time-sensitive matters with sound judgment. Draft, edit, and prepare correspondence, reports, and briefing materials with accuracy and professionalism. Maintain organized filing systems, document tracking, and confidential records to support smooth information flow. Support budget oversight by tracking expenses, preparing reconciliations, and producing administrative reporting. Support social media content creation, scheduling, and analytics, ensuring alignment with brand standards and engagement goals. Prepare marketing materials, newsletters, website updates, and promotional content with clarity and attention to detail. Collaborate effectively across departments and with external partners, adapting to evolving timelines and project needs. Assist in planning and executing performances, events, photoshoots, and presentations with a proactive, solutions-focused approach. Manage sponsor and stakeholder communication, delivering timely, polished correspondence that reflects the Director’s voice. Operations & Organizational Support Prepare meeting materials, agendas, room setup, and equipment with anticipatory planning and strong attention to detail. Support ad hoc projects requiring initiative, decision-making, and comfort with ambiguity. Hold a post-secondary degree in Business Administration, Arts Administration, Communications, Marketing, or equivalent experience. Have a minimum of 3 years’ experience in executive-level support , ideally within an arts or creative organization. Be highly organized, proactive, and able to manage multiple priorities efficiently. Bring creativity and experience in marketing, social media, and content creation. Be eager to grow with Goh Ballet Canada as responsibilities expand. Have website and design experience as an asset, including familiarity with CMS platforms and design tools.
