We are seeking a highly organized and proactive Front Desk Receptionist to join our dynamic real estate brokerage, RCIB Real Estate Limited., Brokerage. In this role, you will serve as the first point of contact for clients, agents, and visitors, while supporting the brokerage’s deal management process. You will help coordinate transaction workflows, ensure all documentation is complete and compliant, and facilitate seamless communication between buyers, sellers, agents, and other parties involved in real estate transactions.


Key Responsibilities:

Front Desk & Client Interaction:

  • Greet and assist clients, visitors, and agents in a professional and friendly manner.
  • Answer phone calls, emails, and inquiries, directing them to the appropriate parties when necessary.
  • Schedule appointments, meetings, and property showings for agents and clients.
  • Maintain a welcoming and organized reception area.

Deal Management & Coordination:

  • Assist in the management of real estate transactions from offer to closing.
  • Monitor the progress of deals, ensuring deadlines are met and all parties are informed.
  • Collect, track, and organize documents related to property transactions, such as contracts, amendments, and disclosures.
  • Coordinate with title companies, inspectors, mortgage lenders, and other third-party vendors to ensure smooth deal progression.
  • Review and maintain up-to-date files for all active transactions.

Administrative Support:

  • Maintain databases and CRM systems for tracking client information and transaction progress.
  • Prepare and send documents, agreements, and transaction updates to clients and agents.
  • Perform general office duties, such as filing, data entry, and document management.
  • Support the brokerage team with any administrative tasks as needed.

Customer Service & Relationship Management:

  • Build and maintain positive relationships with clients, agents, and other stakeholders.
  • Handle client concerns or complaints in a professional and timely manner.
  • Provide excellent service to ensure high levels of customer satisfaction and retention.

Required Skills and Qualifications:

  • Excellent communication and interpersonal skills, with a focus on proactive customer engagement.
  • Proficiency in Microsoft Office Suite and experience with real estate CRM platforms.
  • Strong organizational skills and meticulous attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Prior experience in the real estate industry is highly desirable, ensuring a deep understanding of real estate practices and client management.
