Natco Pharma (Canada) Inc. is headquartered in Mississauga and is supported by a strong cross-functional team. This role will be an office-based position.

We are currently looking for an experienced candidate to assume the role of Executive Assistant, Administration.  This position will report to the CEO.

JOB SUMMARY

The Executive Assistant, Administration manages the day-to-day functioning of the office including the office reception area (answering the telephone and registering guests), providing general support to office staff, and certain project management support for the CEO, Finance, Regulatory and IT.

 

ACCOUNTABILITIES

  • General office management, and administrative support for CEO.
  • Perform receptionist duties including attending to guests, telephone calls, and mail/couriers.
  • Ensure office runs smoothly on a daily basis.
  • Management of office and kitchen supplies inventory.
  • Make travel arrangements, including booking flights and hotels for employees as required.
  • Arrange office gatherings.
  • Liaise with property management team.
  • Co-ordinate with IT service provider to support employees' IT requirements
  • Assist in other special projects as and when required.
  • Schedule meetings and assist management with calendar appointments.
  • Basic project management to support CEO and various departments as required.

SKILLS REQUIRED:

  • Strong multitasking and oranganizational skills.
  • Strong verbal and written communcation skills.
  • Knowledge of Microsoft Outlook and Office.
  • Ability to interact with internal and external stakeholders professionally and knowledgeably.
  • Experience in building strong relationships throughout the organization using a responsive, service-oriented and communicative approach. 
  • Analytical and problem solving skills to assist management and ensure smooth office workflow.
  • Demonstrate initiative and ability to make sound judgements.

EDUCATION & EXPERIENCE REQUIRE

  • High School Diploma with at least 3 years' experience in office administration and/or an executive assistant role. Preference will be given to candidates with post-secondary education (e.g. Bachelor's Degree).
  • Oral/written fluency in English is required.
  • Oral/written skills in French would be preferred.
