This role will oversee capital projects and building improvements for non-technical upgrades to the building in a cost-effective manner consistent with our capital plans. You'll work closely with our Retail Design and Construction (RDC) team to execute all Landlord and Tenant improvement projects.

As a Property Services Manager, you'll be responsible for coordinating numerous activities simultaneously, acting in the best interest of the company as a Project/Construction Manager and Tenant Coordinator. You'll need to be well-versed in all aspects of construction and technical matters, able to estimate and implement capital projects on budget and within targeted deadlines.

This is a decision-maker role that requires effective interaction with a diverse range of personalities. You'll work with contractors and operations managers to assist and approve tenders and RFPs for non-capital projects, and oversee capital projects and building improvements for non-technical upgrades to the building.

Key responsibilities include:

  • Working with contractors and operations managers to assist and approve tenders and RFPs for non-capital projects
  • Overseeing capital projects and building improvements for non-technical upgrades to the building
  • Managing contracts and the RFP process as required
  • Conducting monthly and/or quarterly meetings with contractors and vendors for contract management
  • Updating Building Condition Assessments (BCA) and the 10-year capital plan in collaboration with the Senior Operations Manager
  • Transferring information and linking documents to the excel sheet, using the BCA to populate the 10-year capital planning notes
  • Leading the Operations team for Health and Safety & AODA compliance
  • Auditing training and scheduling courses
  • Coordinating site assessments for IAQ, Radon, Hazmat, Mold, Odour, Water, lighting, and sound reports
  • Maintaining memberships and partnerships with various sustainability organizations
  • Requesting and maintaining diversion targets records in collaboration with the Maintenance Manager
  • Auditing current products and processes, investigating and exploring alternatives, and ensuring that Product Procurement forms are completed for any changes for consideration
  • Being available to respond to the site for after-hour emergencies as required
  • Coordinating access to all areas of the building as required for LOD/initial survey into space(s) to prepare drawings
  • Coordinating access to site (vendors, Enbridge, Toronto hydro, survey groups)

Project Commencement:

Arranging with all parties for demolition

Reviewing newly demolished space for additional operational scope: futureproofing, clean-up, optimizations

Acting as the main point of contact for questions, coordination, and frequent technical review of installs

Closure of Project:

Conducting final review of deficiencies

Reviewing final clean-up

Coordinating hoarding removal or re-demise if required

Assisting in tenant handover of space and rectification of any deficiencies

Tenant Work: In coordination with the RDC team:

Reviewing all MEP drawings and commenting based on the same practices as LLW/CAP

Tendering and arranging hoarding installation if applicable

Collecting all startup documents

Meeting with GC, reviewing site rules

Assisting in handing over possession of space

Coordinating with GC/Trades including site access

Assisting tenant with opening/onboarding support (telco, maps, questions, maintenance documents, etc.)

Managing construction deposit release

Providing logs/tasks/work orders for the Maintenance team and contractors to complete

Facilitating tenant requests

Working with and assisting other team members at the site to coordinate and execute building projects as required

Being available to respond to the site for after-hour emergencies when required

Base Building Projects:

Overseeing and executing base building capital and non-capital projects as assigned

Overseeing and managing the building HAZMAT plan and program

Facilitating tenant requests such as renovation/construction projects and access to other areas of the site

Working with and assisting other team members at the site to coordinate and execute building projects as required

Project Management:

Reviewing LL obligations/lease agreements and/or capital project objectives

Conducting budget analysis and providing recommendations, site specifics

Sourcing/hiring consultants applicable for the project and communicating requirements (existing site reviews, specifics, scope of work, budget, timeline)

Reviewing drawings and specifications, amending/advise as required

Producing tender packages, reviewing, and awarding contracts

Applying for variances/permits as required

Communicating and maintaining established rapport with City Officials

Producing Development Reports to owners (Capital Approval) to initiate the release of funds, track/review/approve progress draws

Conducting contractor orientation of Building Rules & Regulations, Health & Safety (H&S) Policy

Chairing/attending construction site meetings

Conducting final inspections, preparing deficiencies reports, and ensuring the completion of close-out documents

Overseeing and managing large construction or repair projects related to day-to-day building operation, including RFPs / tenders if required
