Job SummaryThe Facilities Coordinator is essential in maintaining Payment Canada's offices, space planning, and delivering exceptional service to the employee base. This role requires effective management of ongoing facility projects, daily facilities needs, and the facilities budget.
Main Responsibilities- Develop and implement strategic plans to meet future facility needs;
- Efficiently manage and resolve service requests;
- Provide regular facility updates and reporting to diverse stakeholders;
- Stay informed about industry best practices and trends;
- Maintain premises and furnishings through cleaning and maintenance programs;
- Respond promptly to emergency maintenance requests and troubleshoot issues;
- Collaborate with the People Team on office accommodations and ergonomics;
- Coordinate moves, adds, and changes;
- Ensure compliance with health and safety, environmental, and risk management policies and procedures;
- Maintain the Workplace Management Tool (ENVOY).
- Post-secondary education in business, facilities management, property management, project management, or a related field;
- A minimum of three years of experience in facility, property, construction, and project management;
- A minimum of three years of contract and lease review experience, combined with demonstrated experience in invoicing and budget oversight;
- Exceptional project management, time management, and organizational skills, with the ability to work in a fast-paced environment;
- Demonstrated knowledge of applicable laws and regulations at both provincial and federal level;
- Proficient in reading drawings, plans, and specifications;
- Knowledge of best practices related to facilities management and space planning;
- Ability to travel between Ottawa and Toronto area;
- Government of Canada Level II Secret Clearance or eligibility to obtain.
