Job Description

The Project Coordinator will be responsible for managing product release to delivery on site, leading communication between customers, vendors, and other departments of Master Group. This individual will manage administrative aspects of assigned projects and day-to-day order entry.

This includes:

  • Managing release and delivery on site
  • Create S.O. / P.O. for released equipment included in the assigned project (R)
  • Include all the addresses and delivery instructions into the S.O.
  • Create S.O. / P.O. for daily order entry (R)
  • Closing follow-up with vendors to get production delivery schedules (R)
  • Inform the customer of delivery schedules and modifications
  • Ask contractors about specifications and/or restrictions to be respected at the delivery point (R)
  • Coordinate with vendors, transport, and/or logistics department the transport from the factory to the delivery point (R)
  • Communicate with customers, vendors, and other administrative departments of Master Group
  • Coordinate with contractors on delivery schedules to meet their requests (R)
  • Inform Outside Sales Representatives regarding delivery schedules (R)
  • Coordinate with third-party shipping companies the delivery schedule on site (R)
  • Communicate with credit departments to get S.O. releases for delivery (R)
  • Inform Technical Departments about delivery schedules when start-up assistance is required, filling their form as soon as possible (R)
  • Communicate with procurement departments to get information about expected reception dates (R)
  • Manage administrative aspects of daily or project S.O.
  • Create S.O. / P.O. according to customer P.O. and Master Group requirements (R)
  • Write notes into S.O. / P.O. to document actions and communications with all other departments, customers, and vendors (R)
  • Update CRM quotation records according to Master Group requirements (R)
  • Keep track of promised delivery dates (R)
  • Archive physical files (R)

Required Skills and Qualifications

To succeed in this role, you must have:

  • A working knowledge of MS Office (Excel & Word) and Windows
  • Knowledge of or willingness to learn the construction bidding and management process, as well as the Sales Support Tools (SST) and GUI (ERP)
  • Self-starting abilities
  • Attention to detail
  • Organization skills
  • Multitasking capabilities
  • The ability to work in a fast-paced environment
  • Excellent communication skills for interacting with customers and resolving issues
