Job Description

This role provides high-level administrative support to the Hospital Products and Finance leaders, prioritizing tasks in a fast-paced environment. The incumbent must maintain confidentiality and operate efficiently with minimal supervision.

The Executive Assistant will work closely with other Administrative Assistants to provide excellent support processes and best practices.

Responsibilities
  • Maintain Calendars for the Hospital Products and Finance leaders
  • Liaise with other Admin Assistants and Department Coordinators to coordinate meeting schedules and address mutual concerns
  • Prepare and coordinate meeting requirements and materials: rooms, audio/visual, lunches/snacks, agendas, minutes, and presentations
  • Prepare and/or coordinate management presentations and related documents
  • Maintain and order supplies for the team, ensuring budget constraints are met
  • Organize travel arrangements for department personnel
  • Compile and calculate monthly budget reports for leadership
  • Process expense reports
  • Ensure invoices are approved, coded, copied, and paid in a timely manner
  • Maintain contact lists of department personnel
  • Update organizational charts and scorecards as required
  • Register department personnel for external training and conferences
  • Distribute vendor cheques with special handling requests to key office personnel
  • Process courier invoices
  • Provide support for team projects and initiatives as needed or assigned
  • Aid in the coordination of special events and activities (may be regular or recurring)
  • Maintain team intranet, website, and SharePoint lists
  • Support team members for Microsoft Office applications and corporate-wide applications
What You'll Bring
  • College diploma in Office Administration or a related field
  • 1-3 years of experience in administrative support for corporate executive leadership
  • Polished written and verbal communication skills, interacting with senior leadership teams
  • Experience interacting with geographically dispersed teams
  • Candidate will have a can-do mentality, take charge when needed, and demonstrate flexibility
  • Excellent interpersonal skills to work with people at all levels internally and externally
  • Strong organization and project management skills
  • Able to handle multiple requests from multiple parties simultaneously and prioritize tasks
  • Sensitivity to confidential matters
Estimated Salary

$60,000 - $80,000 per year, depending on location and experience
