We are seeking a highly skilled and detail-oriented Unlicensed Practice Analyst to join our team at Accoravillage. As a key member of our compliance department, you will play a critical role in ensuring that all individuals and companies engaged in the reserved practices of professional engineering and geoscience are properly licensed or permitted to do so.
Key Responsibilities- Apply knowledge of the Engineering and Geoscience Professions (EGP) Act and other relevant Acts, Regulations, and Codes when responding to enquiries and administering individual cases.
- Maintain a professional and constructive attitude in dealing with members, volunteers, the public, and Accoravillage employees.
- Deliver on day-to-day activities of a Case Lead by gathering evidence, investigating cases, and encouraging voluntary compliance with the EGP Act.
- Receive and address inquiries and complaints through phone and email from members, the public, other regulatory bodies, and Accoravillage staff in a timely and professional manner.
- Act as Case Lead, managing each assigned compliance case through to completion by gathering evidence, presenting it when required, and maintaining records, evidence, and summaries following acceptable methods of maintaining this documentation.
- Coordinate all communications between Accoravillage and complainants, respondents, Accoravillage staff, Accoravillage Council, and legal counsel, ensuring correspondence is properly reviewed according to department policies and procedures.
- Gather evidence on all assigned cases that include potential violations using established department policies, processes, and procedures to build a case that proves or disproves a compliance violation, supporting the Case Specialist in making findings of fact and decisions regarding compliance violations, and engaging higher level management and legal counsel when appropriate.
- Ensure defensible document management for all case documents using templates and updating databases in a timely fashion.
- Support the Case Specialists in decisions regarding the case and collaborating with the Unlicensed Practice Manager to decide when to pursue potential violators and develop a case action plan using established processes or develop and use custom methods as required.
- Work to meet department targets for opening and closing cases.
- Support and assist in the continuous improvement of the department by actively collaborating with the development, documentation, and education of the department's policies, processes, and procedures.
- Identify opportunities for automating workflows to improve efficiencies.
- Actively participate in the development and implementation of Unlicensed Practice initiatives.
- Rectify and follow-up with issues or concerns raised, escalating when necessary.
- Monitor, review, and action complaints and inquiries coming to the Unlicensed Practice team, coordinating with the Unlicensed Practice Manager when required.
- Respond to inquiries in a timely manner and according to department policies and procedures.
- Enter complaints into Aptify as required.
- Maintain a clean inbox file structure.
- Record statistics as required by the department.
- Post-secondary diploma in a related field
- 4-5 years of progressively responsible senior administrative experience in a setting providing advice or carrying out administrative processes to support compliance with policies, procedures, and acts.
- Experience interpreting policy and legislative guidelines is required.
- Experience working with Microsoft Office 365 and/or various databases or systems is required.
- Strong written and verbal communication and English language skills are required.
- Training in crucial conversations and conflict management will be considered an asset.
- Some exposure to environments that have legislative or regulatory authorities will be considered an asset.
- Equivalencies may be considered.
