Job Summary

Thompson Rivers University is seeking a highly organized and detail-oriented Divisional Secretary II to provide administrative support to our team. As a key member of our staff, you will be responsible for a variety of tasks that require strong communication and organizational skills.

Key Responsibilities
  1. Administrative Support: Provide administrative support to the team, including word-processing, data entry, and maintaining accurate records.
  2. Receptionist Services: Provide receptionist services, including receiving visitors, scheduling appointments, and providing information to staff and students.
  3. Filing and Inventory Management: Set up and maintain filing systems, records, and office supplies inventory, and troubleshoot and report malfunctioning office equipment.
  4. Communication and Correspondence: Prepare and send out relevant materials, including manuals, learning guides, and course outlines, and collect, sort, and distribute mail for designated departments.
  5. Event Planning and Coordination: Arrange meetings, locate and assemble background information, book physical facilities and equipment for meetings, and assist in arranging events.
  6. Policies and Procedures: Set up, maintain, and update relevant policy procedures manuals.
Requirements
  • Education: Grade 12 plus six months' post-secondary education or equivalent.
  • Experience: Two years' related experience, including one year's experience with electronic word processing and data entry.
  • Skills and Abilities: Ability to perform electronic word processing at 60 wpm and data entry, ability to deal courteously and tactfully with staff, students, and members of the general public, ability to communicate effectively both verbally and in writing, ability to plan and organize work, and ability to operate related equipment such as photocopiers and fax machines.
Working Conditions
  • Work Environment: Sitting at a desk and computer for periods of time, general office conditions.
