Job Title: Submittal Specialist

Are you a detail-oriented professional with a passion for HVAC projects? Do you have excellent communication skills and a strong understanding of mechanical systems?

We are seeking a highly organized and motivated Submittal Specialist to join our team at Annexair Inc. As a key member of our team, you will be responsible for preparing and coordinating submittals for our clients.

Key Responsibilities:
  • Read and interpret project specifications, mechanical plans, and electrical & control schematics;
  • Select mechanical components such as fans, heat exchangers, cooling and heating components;
  • Prepare submittal drawing requests for the appropriate department and coordinate Kick Off Submittal Meetings;
  • Confirm project timelines with the factory and sales department;
  • Confirm final estimations based on required supplier quotations and ensure project costs match sales and estimation quotations;
  • Review quotes to meet client expectations;
  • Send project submittal files to engineers and coordinate with sales until submittal approval;
  • Prepare release packages for project submittals, assemble final estimates and supplier quotations, and coordinate delivery dates with Order Desk;
  • Coordinate Kick Off Release Meetings with the factory and release into production;
  • Track projects for any additional requests until delivery.
Requirements:
  • Technical school diploma in Building Systems Technology;
  • 3 to 5 years of HVAC-related experience;
  • Good understanding of air-handling unit design;
  • Excellent communication and teamwork skills;
  • Basic knowledge of AutoCAD and MS Office;
  • Functional French (asset);
  • English fluency mandatory.
