Job Summary

The Employee Relations Coordinator plays a vital role in supporting staff, supervisors, and managers in implementing attendance management and early return-to-work programs at GardaWorld. This administrative position requires a high level of self-motivation, organizational skills, and attention to detail.

Key Responsibilities
  • Administrative Support: Manage the administrative process for authorized leave requests, ensuring all necessary documents are received and maintained.
  • Leave Monitoring: Monitor leaves, ensuring individuals meet requirements and fostering the return-to-work process.
  • Data Management: Monitor daily absences and late arrivals, develop and maintain reports on workforce absenteeism and lateness, highlighting trends and patterns.
  • Return-to-Work Program: Support the early and safe return-to-work program by discussing modified or alternate work opportunities and offering on-site and other supports/resources for injury absences.
  • Alternate Work Opportunities: Actively identify and implement alternate work opportunities within the division.
  • Documentation: Complete various documentation, including notes from employee meetings, updates to operations files, tracking of records, and Excel spreadsheets.
  • Attendance Meetings: Attend all attendance meetings in partnership with roster SDM.
  • Program Administration: Partner with People and Culture and Service Delivery Managers for the administration of the Attendance Management Program.
  • Quarterly Reports: Interpret quarterly attendance reports to review employee participation in the program.
  • Milestone Meetings: Schedule and attend milestone meetings with employees in the program.
  • Program Tracking: Track employee status in the program, including whether they continue in the program or have successfully exited.
  • Reports and Statistics: Compile various reports and statistics, coordinating related activities with internal and external stakeholders.
  • Operations Support: Support Operations by maintaining records of modified equipment or functions.
  • Medical Documentation: Review records prior to each sign-up and request updated medical documentation from operators as required.
  • Gradual Return-to-Work Planning: Collaborate with Operations, Employee, and Union in Gradual Return-to-Work planning meetings.
  • Scheduling: Coordinate Gradual Return-to-Work schedules with training and scheduling, communicate schedules to all stakeholders.
  • Accident Investigations: Act as Employer representative in Accident investigations (EIIR), participate in identifying corrective actions, and follow up to confirm that corrective actions have been completed.
Requirements
  • Education: Post-secondary or equivalent work experience.
  • Work Experience: Minimum two years directly related work experience in a fast-paced and dynamic administrative environment, preferably in a unionized environment.
  • Education in HR: Education in Human Resource Management or a related field is an asset.
  • Employee Benefits Administration: Skilled in employee benefits administration.
Knowledge, Skills, and Abilities
  • Employment and Human Rights Legislations: Knowledge of employment and Human Rights legislations.
  • Company Procedures: Ability to interpret and advise on company procedures.
  • Self-Motivation: High level of self-motivation and the ability to work with minimum supervision.
  • Microsoft Office: Good working level of proficiency and confidence in using Microsoft Office and other desktop applications.
  • Organizational Skills: Able to demonstrate excellent organizational skills and attention to detail.
  • Self-Motivated: Self-motivated and able to manage own priorities to meet service level agreements.
  • Discipline and Fair Treatment Meetings: Able to evidence experience of attending discipline and fair treatment meetings.
  • Pressure Management: Ability to work under pressure and retain a clear view within a demanding environment.
  • Judgment: The ability to judge when to escalate a situation - confer with other stakeholders.
  • Computer Proficiency: Proficiency with Windows and computers.
  • Performance Management and Investigations: Adept with performance management and investigations.
