Service Operations Coordinator

Job Summary
The ideal candidate for this Service Administrator role will be responsible for providing administrative support to the Service Division, ensuring the smooth operation of the service team. This includes performing dispatching duties, managing work orders, and maintaining accurate records.
Key Responsibilities
- Work with the Service Supervisor to ensure Preventative Maintenance (PM) Work Orders are complete and not outstanding for more than 30 days.
- Review PM hours (actual vs estimated) and notify the Service Supervisor and Division Manager of discrepancies.
- Provide exceptional customer service, investigating and resolving customer inquiries and concerns in a timely manner.
- Dispatch duties, taking service calls from customers, creating Work Orders/POs for technicians, and ensuring work schedules are up-to-date.
- Maintain accurate and timely documentation, including filing permits for plumbing, electrical, and gas, and submitting Service Reports for PM hours worked on PM Work Orders.
Requirements
- A minimum of 5 years of relevant experience or a diploma in administration.
- Thorough knowledge of Computer Programs and Microsoft Office Suite.
- Ability to communicate clearly and effectively with technicians, customers, and coworkers.
- Geographical knowledge of the service area or map reading skills.
