Event Coordinator Job Description

We are seeking a highly organized and detail-oriented Event Coordinator to join our team at Infinity Convention Center. The successful candidate will be responsible for coordinating and executing events, conferences, and meetings with a high level of professionalism and attention to detail.

Key Responsibilities:
  • Event Planning: Assist in planning and coordinating events, conferences, and meetings from start to finish, including venue selection, catering, audiovisual equipment, and logistics.
  • Communication: Develop and implement effective communication plans to ensure seamless execution of events, including coordination with vendors, speakers, and attendees.
  • Financial Management: Assist in preparing financial reports and managing event budgets to ensure accurate tracking and reporting.
  • Marketing and Promotion: Promote conference and meeting services or special events through various marketing channels to increase visibility and attendance.
  • Logistics and Operations: Determine requirements for hospitality services, signage, multi-media equipment, printing, and other technical services, and arrange for and manage contracts for these services.
  • Accommodation and Transportation: Plan and arrange for accommodation and transportation services for attendees and speakers.
  • Research and Design: Research and design special events programs, including social events and guest programs.
  • Supervision: Supervise office and volunteer staff as needed to ensure successful event execution.
Requirements:
  • Education: College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Experience: 1 year to less than 2 years of experience in event planning, coordination, or a related field.
  • Language: English.
  • Work Hours: 40 hours per week.
